We are seeking an organized, detail-oriented Intermediate Bookkeeper to provide core financial administration and project-based bookkeeping support for an Australian design and construction studio. In this dual-reporting role, you will work closely with the Finance Manager and Design Studio Administration to manage accounts payable/receivable, perform fortnightly payroll, maintain general ledgers in Xero, and track project costings and timesheets. You will serve as a vital financial link ensuring reliable records, accurate job costing, and timely Australian tax compliance.
Your Impact
- Financial Management & Ledger Control: Maintain general ledgers, manage full-cycle AP/AR, issue customer invoices and progress claims, reconcile bank/credit card/trade accounts, and track cash flow and fixed assets.
- Fortnightly Australian Payroll: Process fortnightly payroll, review employee timesheets, manage leave entitlements, and ensure strict compliance with Australian awards, Superannuation, and PAYG requirements.
- Tax Compliance & Financial Reporting: Assist with month-end close procedures and supporting schedule preparations for BAS, IAS, PAYG withholding, Payroll Tax, and year-end reporting.
- Project, Construction & Studio Support: Allocate project costs, process subcontractor payment schedules, update sales and timesheet trackers, handle Xero receipt coding, and assist with project profitability reporting using job management tools.
- Administrative Governance & Vendor Management: Maintain clean Xero contact databases, reconcile supplier statements, handle finance inquiries from clients and vendors, and assist with business registrations and insurance renewals.
What You Bring
- The Experience: Demonstrated bookkeeping and financial administration experience, preferably supporting Australian business entities or project-based sectors (construction, architecture, engineering, landscaping, or design).
- Software Competency: Practical proficiency with Xero and Microsoft 365 (intermediate Excel skills). Exposure to project costing and job management software (e.g., Total Synergy, Buildertrend, or similar platforms) is a strong advantage.
- Tax Knowledge: Solid general understanding of Australian tax concepts-including GST, BAS, IAS, PAYG withholding, and Superannuation.
- Core Competencies: High level of numeric accuracy, exceptional reconciliation skills, strong organizational and multi-tasking habits, and strict discretion with confidential financial data.
- Communication Skills: Clear and effective written and verbal English communication skills to collaborate seamlessly with Australian team leaders, site supervisors, and external vendors.
