The Role (Your Day-to-day)
The Finance Assistant/Bookkeeper is responsible for delivering accurate and timely financial administration for our client, with a strong focus on billing, trust accounting, and financial reporting. This role plays a critical part in maintaining compliance with legal accounting standards while supporting the firm's cash flow and operational efficiency.
Key Responsibilities (What you'll do)
The role will be responsible for the following key tasks in the identified areas:
Accounts Payable & Cash Flow Management
- Enter supplier invoices and maintain accounts payable records
- Process payment runs in line with firm approval processes
- Assist in cash flow management and provide input into payment prioritisation
- Liaise with management regarding cash flow decisions
- BAS preparation and submission
- FBT preparation and submission
Accounts Receivable & Billing
- Generate and issue client invoices in accordance with firm procedures
- Manage accounts receivable, including receipting incoming payments
- Monitor outstanding debtor balances and follow up as required
- Ensure accurate allocation of receipts against client matters
Trust Accounting
- Process trust account receipting in compliance with legal regulations
- Manage trust account payments and transfers
- Maintain accurate trust records and ensure strict regulatory compliance
Reconciliations & Financial Processing
- Perform regular bank reconciliations (operating and trust accounts)
- Review and approve credit card transactions and complete journal postings
- Ensure all financial transactions are accurately recorded and reconciled
Work In Progress (WIP) & Reporting
- Prepare and maintain WIP Income Reports
- Generate Staff WIP Income Reports to support performance tracking
- Assist lawyers with WIP management and billing readiness
General Finance Duties
- Maintain accurate and up-to-date financial records
- Support month-end processes and reporting requirements
- Ensure compliance with internal policies and legal accounting standards
KPIs for the role include, but are not limited to: Timely and accurate processing of invoices and payments, accuracy of bank and trust reconciliations, Compliance with trust accounting regulations, Reduction in outstanding accounts receivable, and Timeliness and usefulness of WIP and financial reports.
Requirements (What you need to be successful)
- Experience in Australian bookkeeping or finance administration.
- Must have experience in supporting Australian law firms OR have worked in an Accounting firm supporting Australia
- Strong understanding of trust accounting requirements
- Experience with invoicing and WIP management in a professional services environment
- High level of accuracy and attention to detail
- Strong organisational and time management skills
- Ability to work independently in a remote environment
- Proficiency in Xero accounting software and legal practice systems (desirable)
