Booking Administrator (Property Surveying)

Location: Remote (Philippines)

Employment Type: Full-Time | Permanent

Work Schedule: Monday to Friday | 9:00 AM – 6:00 PM UK Time | 4PM - 1AM PH Time

About The Role

We are looking for a Booking Administrators to join a growing UK-based chartered surveying company. In this role, you will be responsible for coordinating property survey appointments, managing surveyors schedules, communicating with clients, and preparing professional survey reports. This is an excellent opportunity for experienced administrators who thrive in a fast-paced environment, enjoy coordinating multiple tasks, and have exceptional attention to detail.

Key Responsibilities

Booking & Scheduling

  • Manage survey bookings received via email, CRM, and client portals.
  • Coordinate appointments between clients and surveyors.
  • Schedule, confirm, and reschedule survey appointments by phone and email.
  • Allocate survey jobs based on surveyor availability and geographic coverage.
  • Monitor multiple surveyors diaries and optimize schedules.
  • Update booking statuses across CRM systems and client portals.

Report Preparation & Administration

  • Format survey reports in Microsoft Word using company templates.
  • Insert and position photographs accurately within reports.
  • Review formatting, grammar, spelling, and overall presentation.
  • Convert completed reports to PDF for client delivery.
  • Maintain accurate records and documentation.

Client & Team Communication

  • Communicate professionally with homeowners, lenders, solicitors, surveyors, and internal teams.
  • Respond promptly to booking enquiries and appointment updates.
  • Escalate complex issues to senior team members when necessary.

General Administration

  • Perform administrative tasks related to bookings, documentation, and scheduling.
  • Follow established procedures while identifying opportunities for process improvements.
  • Maintain productivity and transparency while working remotely.

Requirements

  • Minimum 2 years experience in administration, scheduling, bookings, customer service, or a similar role.
  • Excellent spoken and written English with strong grammar and communication skills.
  • Confident communicating with UK-based clients over the phone and via email.
  • Advanced Microsoft Word skills, including document formatting, templates, and image insertion.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Experience using CRM systems or scheduling software is highly desirable.
  • Reliable high-speed internet connection with backup options.
  • Dedicated home office suitable for remote work.
  • Willing to work UK business hours and observe UK public holidays.

Preferred Experience

  • Supporting UK, Australian, or other international clients.
  • Experience in property, surveying, construction, engineering, or professional services.
  • Previous experience working remotely.
  • Comfortable working with experienced professionals in a collaborative team environment.
