We are seeking a proactive, detail-oriented Billing Team Lead to oversee day-to-day billing operations across our Enterprise customer segment. This role ensures accurate subscription billing, timely invoicing, and effective issue resolution while supporting a small team in a fast-paced environment.
The Billing Team Lead acts as a subject-matter expert on billing processes, contract interpretation, and system accuracy. You will collaborate closely with Sales, Customer Success, Enterprise Support, Collections, and RevOps to maintain smooth workflows and exceptional customer experience.

Primary Responsibilities
Billing Operations and Accuracy
Manage subscription billing through Chargebee for both Retail (high volume) and Enterprise (high complexity) accounts
Review customer contracts and ensure billing setups align with negotiated terms
Generate accurate monthly invoices and required backup documentation
Maintain alignment of data across Chargebee, HubSpot, Excel, and internal systems
Oversee subscription changes including upgrades, downgrades, cancellations, renewals, and quantity updates
Reconcile payments, identify discrepancies, and follow up on outstanding balances
Upload invoices into client payable/vendor systems when required (Enterprise)
Ensure adherence to customer specific SOPs and special handling instructions
Customer Support and Resolution
Serve as the escalation point for billing inquiries, discrepancies, credit/refund requests, and account questions
Investigate payment or invoice discrepancies and determine root causes
Communicate clearly and professionally with both internal teams and clients
Support collections efforts by providing accurate documentation and timely responses
Reporting and Month-End Support
Prepare and validate billing reports, aging summaries, and reconciliation data
Assist with month end close activities related to revenue and cost of revenue
Review internal reporting to ensure data accuracy
Team Leadership
Guide Billing Specialists on daily priorities, workload distribution, and operational standards
Provide training, oversight, and support to ensure consistent execution
Act as SME for contract interpretation and complex billing situations
Ensure timely responses to internal communication channels and HubSpot tickets
Continuous Improvement
Recommend and implement workflow enhancements, automation improvements, and efficiency updates
Support cross functional projects and strategic initiatives
Maintain and improve documentation, SOPs, and reporting templates
Skills and Qualifications
Willing to work onsite in our Cebu/Bacolod office and willing to work on night shift (9pm-6am PHT)
Ability to understand contracts and apply billing terms accurately
Atleast 3–6+ years of experience in Billing and/or Accounts Receivable
Experience in SaaS or subscription based billing strongly preferred
Familiarity with Chargebee, HubSpot, or similar CRM/billing systems
Has 2–3+ years of strong proficiency in Excel experience (VLOOKUP, pivot tables, data validation)
Customer service experience with strong communication and professionalism
High attention to detail, accuracy, and data integrity
Strong analytical and problem solving skills
Ability to manage competing priorities and meet deadlines
Experience leading, mentoring, or supporting team members (formal or informal leadership is acceptable)
