We're now looking for a strategic and hands-on Billing Operations Manager to lead our revenue cycle operations, optimize collections, and build scalable systems that support our next stage of growth.

As the Billing Operations Manager, you will own and optimize all aspects of the revenue cycle, including billing operations, claims management, collections, and payer performance.
This role blends operational leadership with strategic transformation. You will manage a high-performing billing team, introduce automation and data-driven decision-making, and serve as a key partner to Finance and Executive leadership in driving sustainable revenue growth.
Lead and manage the Billing department, ensuring accuracy, efficiency, and accountability across all billing and collections operations.
Build a culture of performance, ownership, and continuous improvement within the team.
Oversee claims submission, payment posting, denials, and collections.
Maintain best-in-class metrics for denial rates, first-pass resolution, and Days in A/R.
Design and maintain automated KPI dashboards for real-time visibility into team performance.
Implement targeted strategies to reduce insurance A/R over 120 days.
Monitor reimbursement trends and payer performance.
Strategically manage payer mix to reduce dependency on any single payer.
Identify opportunities to increase reimbursement per session and overall yield.
Identify and implement automation and technology solutions (e.g., RPA, AI-driven denial analysis, workflow automation).
Partner with internal teams and vendors to deploy new tools and systems.
Redesign workflows to improve speed, accuracy, and scalability.
Design onboarding and continuous training programs for billing staff.
Build cross-training and succession plans to ensure operational continuity.
Coach team members through performance improvement and skill development.
Act as primary point of contact for payer relationships and escalations.
Resolve complex or high-impact billing issues.
Provide regular performance and financial impact reports to the CEO and Finance leadership.
Collaborate closely with Clinical, Operations, and Executive teams.
5+ years of experience in medical billing / revenue cycle management.
At least 2 years in a supervisory or leadership role.
Strong background in insurance billing, collections, and payer negotiations.
Experience in behavioral health, mental health, or telehealth is a strong plus.
Deep understanding of revenue cycle KPIs (Days in A/R, denial rates, first-pass resolution, etc.).
Strong analytical and financial acumen.
Proven ability to design and improve operational processes.
Excellent written and verbal communication skills.
Ability to lead, coach, and hold teams accountable in a remote environment.
Advanced proficiency in Excel / Google Sheets (formulas, dashboards, reporting).
Experience with EHR and billing systems (e.g., AdvancedMD, Kareo, Athena, similar).
Comfort working with CRM, ticketing, or workflow tools.
Interest or experience in automation, RPA, or data analytics tools is a major plus.
Strategic thinker with strong execution skills.
Comfortable operating in fast-growing, evolving environments.
Highly organized, proactive, and data-driven.
Professional, discreet, and trusted with sensitive financial and patient data.
Full-time: 40 hours/week
Schedule: Monday–Friday | Pacific Standard Time (PST)
Equipment: Modern laptop/desktop (Intel i5 or equivalent, 8GB+ RAM)
Internet: Stable high-speed connection
