Job Description

Overview

Our client is looking for an experienced Billing & Accounts Receivable Specialist (Pain Management) with specialized pain management expertise to join their remote team. In this pivotal role, you will oversee the full revenue cycle, handling claims submission, denial resolutions, payment posting, and aging follow-ups. Working closely with a dedicated practice in Fort Pierce, FL, you will collaborate directly with clinical staff and corporate billing teams to keep financial operations running smoothly. Your expertise in pain management coding, prior authorizations, and personal injury billing will ensure accurate and timely reimbursement. This is an incredible opportunity for a detail-oriented professional to make a meaningful impact while working full-time from the comfort of home.

Schedule:

  • Full-Time · Mon–Fri, 8:00 AM to 4:30 PM Eastern, 30-min lunch

Responsibilities

  • Verify insurance eligibility and benefits before visits and procedures and estimate what the patient will owe; call patients ahead of scheduled appointments and procedures to review estimated costs and any outstanding balances, follow up on past-due balances, and collect payment or set up payment plans
  • Create patient charts in the EHR for hospital patients, then drop charges and submit billing for their hospital encounters
  • Submit and track insurance claims
  • Manage AR, aging reports, and unpaid or underpaid follow-up
  • Communicate with insurance companies on claim status and discrepancies; for unpaid or stalled claims, review the patient's chart and call the insurer to find out why (missing information, coding errors, eligibility, or coordination of benefits), then correct and resubmit
  • Handle denials and resubmissions
  • Research denied or underpaid claims, write and submit appeals, and track them to resolution
  • Send patient statements, track payment plans, and refer unpaid accounts to collections
  • Post payments and reconcile accounts
  • Track all non-PI write-offs in an Excel log
  • Coordinate with Pain Care Florida's corporate billing team, and collaborate with front office and clinical staff on billing questions
  • Prepare weekly/monthly reports on AR aging, collections, and denial trends
  • Maintain HIPAA and payer compliance
  • Other duties as assigned

Personal Injury (PI) Responsibilities:

  • Review the prior week's PI appointments each week (for example, on Monday, review the previous Monday's visits) to confirm every visit was billed
  • The day after each appointment, check for no-shows, notify the attorney when needed, and record the follow-up visit on the PI tracker
  • Send new patient encounter notes and bills to the patient's law firm by fax or email
  • When a visit falls more than 30 days after the previous one, confirm that PIP has paid the prior bill; refer PIP claims outstanding more than 60 days to the billing team for a status check and correction
  • Update the patient's insurance information when PIP benefits are exhausted
  • Review each bill for accuracy before sending, confirming it shows billed amounts, payments, and adjustments for all current dates of service; when anything is missing or unpaid, send the attorney an explanation of the outstanding balance
  • Work with the billing team to correct any billing errors
  • Review incoming check batch emails for law firm settlement checks, save each check to the patient's chart, and adjust the settled balance to zero in the EHR

Requirements

  • 2+ years of billing/AR experience in U.S. pain management (general medical billing alone won't be considered)
  • Strong knowledge of pain management CPT codes (injections, nerve blocks, RFA, spinal cord stimulators, UDS)
  • Experience with hospital encounter charge entry for professional services
  • Experience with prior auths and appeals for pain procedures
  • Familiarity with insurance payer requirements and medical necessity documentation for pain management services
  • Strong ICD-10, CPT, and HCPCS knowledge
  • Proficiency with EHR/practice management billing software
