Job Description

We are seeking a Bilingual Call Center Operator / Medical Scheduler (English/Spanish) to join our growing healthcare team. In this role, you will serve as the first point of contact for patients, delivering exceptional customer service while managing inbound and outbound calls, coordinating appointments, and ensuring a seamless patient scheduling experience.

The ideal candidate is fluent in both English and Spanish, has experience working in a specialty medical practice, and thrives in a fast-paced, high-volume call center environment. Experience in Hepatology and eClinicalWorks (eCW) is highly preferred.

Key Responsibilities

  • Answer high-volume inbound and outbound patient calls professionally in both English and Spanish.
  • Schedule, reschedule, and cancel patient appointments while following provider scheduling guidelines and practice protocols.
  • Verify and update patient demographics, insurance information, and contact details during the scheduling process.
  • Accurately document patient interactions, scheduling activities, and communications within the electronic medical record (EMR).
  • Coordinate referrals, follow-up visits, diagnostic testing, and provider schedules to ensure continuity of care.
  • Communicate appointment details, preparation instructions, office policies, and other important information to patients.
  • Route clinical questions and patient messages to providers and clinical staff appropriately.
  • Assist patients with inquiries while maintaining professionalism, empathy, and excellent customer service.
  • Collaborate with physicians, medical assistants, front office staff, and other healthcare professionals to optimize scheduling efficiency and patient flow.
  • Meet established productivity, quality assurance, and patient satisfaction goals.
  • Maintain confidentiality and compliance with HIPAA and organizational policies.

Qualifications

  • Minimum of 2 years of experience in medical scheduling, patient access, or a healthcare call center.
  • Fluent in English and Spanish with excellent verbal and written communication skills.
  • Experience scheduling appointments within a specialty medical practice.
  • Strong customer service skills with the ability to handle high call volumes professionally.
  • Experience using Electronic Medical Record (EMR) systems.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Strong attention to detail and data entry accuracy.
  • Ability to work independently while collaborating effectively within a team.
  • Previous experience working in a Hepatology practice.
  • Experience using eClinicalWorks (eCW).
  • Knowledge of medical terminology and specialty referral workflows.
  • Experience verifying insurance eligibility and obtaining patient demographic information.
  • Familiarity with specialty provider scheduling protocols.
