Role Overview
Frontline DDQ/RFP support for AEs and revenue teams. Triage, fill questionnaires (mostly DDQs), manage cases in SFDC & Loopio, route to XFN DRIs, meet SLAs,), and keep organized repos and trackers
Primary Tasks/Responsibilities
- Manage end-to-end proposal lifecycle for assigned RFPs/RFIs/ITNs: intake, compliance matrix, content assembly, and submission
- Create and maintain proposal templates, standard content library, pricing calculators, and compliance checklists
- Coordinate cross-functional contributors (sales, legal, finance, product, delivery) to collect inputs and approvals on technical, commercial, and legal sections
- Develop and validate pricing models and cost assumptions; work with finance to ensure margins and commercial terms meet targets
- Ensure all responses meet RFP requirements and internal approval governance; run red-team reviews and final quality checks
- Maintain records of versions, submission receipts, and post-submission debrief artifacts; track win/loss outcomes and reasons
- Produce bid analytics and dashboards to measure success rates, win drivers, pricing trends, and proposal cycle time
- Support strategic capture activities: competitor analysis, win themes, tailoring value propositions, and identifying differentiators
Primary Audience
- AE, XFN teams, do not communicate directly to the customer. Internal facing only (e.g., Commercial legal, Privacy, Security, Third party risk, Merchant health and safety, Business continuity, Solution architecture)
- All XFN DRIs and people needed are maintained in the loopio process
Must Have Skills
- Proposal management, demonstrated experience producing compliant RFP/RFI/ITN responses
- Technical writing and storyboarding, craft clear value propositions and tailored solution narratives
- Pricing and commercial acumen, build/validate pricing models and understand margin drivers
- Project coordination, manage timelines, version control, and stakeholder follow-ups
- Attention to detail, compliance matrixing, contract clause awareness, and proofreading
- Data/analytics basics, ability to produce simple bid performance metrics and interpret win/loss data
- Communication, strong written and verbal communication; comfortable presenting recommendations to leadership
Must Have Tools
- Microsoft Office suite (Word, Excel, PowerPoint) advanced Excel (pricing models, pivot tables)
- Proposal management or CRM system (e.g., RFPIO, Loopio) or demonstrated equivalent experience
- Document/version control (SharePoint/Google Drive)
- Basic BI/reporting tool familiarity (e.g., Excel, Power BI, Looker) for tracking metrics

Skills
- Experience with formal capture management and pursuit strategy
- Financial modeling or FP&A exposure for complex pricing scenarios
- Familiarity with legal/contract language and redlines
- Process improvement experience (streamlining proposal workflows, automation)
- Presentation design skills for executive-level proposal decks
Tools
- RFP automation platforms (RFPIO, Loopio) advanced usage
- Pricing/configuration tools (CPQ) knowledge
- BI tools (Power BI, Looker, Tableau) for dashboarding
- Simple scripting or automation (Excel VBA, Python) to accelerate repetitive tasks
Qualifications:
- Bachelors Degree
- 2-5 years relevant experience
- Experience with RFPs, Due Diligence, and Security Questionnaires.
- Salesforce experience (Salesforce Case management is a strong plus).
- Strong communication and stakeholder management skills (daily interaction with Sales and partner teams).
- Excellent prioritization and organizational skills to manage multiple time-sensitive requests simultaneously.
