Job Description

Brief Description

  • Provide Bid Desk Operational Support: Deliver essential operational support for all Due Diligence Questionnaires (DDQs) and broader Bid Desk activities.
  • Manage End-to-End Proposal Process: Oversee the completion of high-value Requests for Proposals (RFPs), security questionnaires, and vendor onboarding forms on behalf of the Sales team.
  • Coordinate Cross-Functional Execution: Manage time-sensitive cases by coordinating input and completion efforts across Sales, Security, Privacy, Risk, Legal, and Financial Crimes teams.
  • Handle Inbound Requests & Project Management: Proactively manage incoming Sales requests via Salesforce Cases, project managing each bid through to completion.
  • Utilize Third-Party Tools: Operate and manage third-party software tools (e.g., Loopio) for importing, tracking, and completing RFP/DDQ requests.
  • Drive Process Improvement: Build strong collaborative relationships across functional areas and identify/recommend best practices and process improvements for the Bid Proposal team.

Qualifications & Experience

  • Bid Management Expertise: Experience managing Requests for Proposals (RFPs), Due Diligence Questionnaires (DDQs), and Security Questionnaires.
  • CRM Proficiency: Proficient in using Salesforce; strong experience with Salesforce Case management is highly advantageous.
  • Stakeholder Management: Excellent communication and stakeholder management skills, with proven ability to interact daily with Sales and cross-functional partner teams.
  • Project Management: Exceptional prioritization and organizational skills, with the ability to manage multiple time-sensitive requests concurrently.

Skillsets / Hiring requirements

  • Bid Management Expertise: Core expertise in Due Diligence Questionnaire (DDQ) support (majority workload); experience with Requests for Proposals (RFPs) is a plus.
  • Stakeholder Collaboration: Ability to effectively coordinate with internal stakeholders and process Account Executive (AE) requests efficiently.
  • Tool Proficiency: Proficient in using bid management tools such as Loopio (RFP/DDQ catalog), Microsoft Word, and Adobe for questionnaire completion and handling.
  • Organizational Skills: Strong project management and time management skills; comfortable performing repetitive tasks with high accuracy.

Sample tasks include (but are not limited to)

  • Manage Client Onboarding Documentation: Oversee the processing of questionnaires for new client onboarding, routing them efficiently to cross-functional teams for necessary review and approval.
  • Utilize Bid Management Software: Load and manage questionnaires within Loopio for efficient RFP and DDQ handling, managing volumes of 100500 questions per DDQ with time-sensitive turnaround times.
  • Ensure Policy Compliance: Complete all questionnaires by leveraging and applying approved policy language sourced from established knowledge repositories.
  • Handle Varied Inquiries: Address a spectrum of inquiries ranging from simple policy confirmations to complex, ambiguous issues requiring strategic escalation.
  • Track and Communicate Status: Meticulously assign and track all issues within Loopio according to documented processes, ensuring timely communication with Account Executives (AEs) regarding completion status.
