Bid Coordinator - Engineering Services (Up to 50K | WFH | FREE AI Certification)

Cebu City | Remote (WFH) | 6:00 AM–3:00 PM | Monday-Friday

You own the end-to-end coordination of tender and proposal activities, ensuring all bid data, documentation, and folder structures are established and maintained with precision. Your work follows disciplined internal requirements and governance standards to support the full bid lifecycle for an Australian engineering consultancy.

This is not a reactive administrative role; you take ownership of low-to-medium complexity bids and Expressions of Interest (EOIs) while coordinating contributors across multiple disciplines. It is best suited for professionals who thrive in highly structured environments, value accountability, and prefer clear scopes over ambiguity.

You're Likely a Strong Fit If You Have

  • 2+ years of experience in bid/tender coordination or a similar project support role.
  • Hands-on responsibility for maintaining bid registers, schedules, and collateral such as CVs and project sheets.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint) and professional document formatting.
  • Experience operating under multiple simultaneous deadlines within a professional services or engineering environment.
  • Willingness to work a dayshift (6:00 AM–3:00 PM PHT) and comply with fully remote work requirements.

Strong Signals

  • Experience using Deltek or similar opportunity management systems.
  • Exposure to Australian engineering or construction industry standards

Responsibility Pillars

Bid Lifecycle & Documentation You own the structural setup and maintenance of the bid environment, ensuring all documentation remains current and compliant.

  • Establish detailed bid schedules and folder structures for new opportunities.
  • Download and manage tender documentation in accordance with internal requirements.
  • Maintain bid libraries and templates to ensure compliance with quality standards.

Opportunity & Data Management You ensure the accuracy of bid data, providing the transparency needed for strategic decision-making.

  • Manage bid registers to record status, approvals, submissions, and outcomes.
  • Update and maintain Deltek data to ensure all opportunity records are current.
  • Capture records of bid outcomes and feedback for post-award handover activities.

Collateral & Resource Coordination You coordinate the internal contributors and assets required to build high-quality, persuasive proposals.

  • Coordinate bid collateral, including project sheets and staff CVs.
  • Support staff onboarding and offboarding by maintaining updated professional profiles.
  • Identify required inputs and coordinate contributors across various offices and disciplines.
