About the Role

Atlas NextWave is seeking a Bid & Contracts Specialist that will play a critical role in ensuring the accurate, timely and compliant delivery of bids, questionnaires and contract documentation across the business.

This role represents a step up from support-based activities to full operational ownership, requiring strong judgement, independence, and proactive stakeholder management. The Specialist is expected to run defined workstreams end-to-end, escalating appropriately but not relying on constant oversight.

Responsibilities

• Lead Ownership of Questionnaires & Onboarding Documentation
• Manage all client questionnaires, onboarding forms, and prequalification documents from receipt to submissioncoordinating inputs, ensuring accuracy, and maintaining full audit trails.

• Manage Deadlines, Mailboxes & Workflow Prioritization
• Oversee TenderDesk and Contract Management mailboxes, track all deadlines, resolve bottlenecks proactively, and escalate risks or resource constraints as needed.

• Support Tender & Bid Development
• Contribute to tender responses by drafting content, identifying compliance issues, reviewing submissions for consistency, and ensuring alignment with bid strategy.

• Coordinate Contract Reviews & Template Alignment
• Support contract review processes using Atlas templates and the Contract Review GPT, consolidating outputs, escalating risks, performing integrity checks, and contributing to the development of contract review capability.

• Provide Insurance Support & Escalation Coverage
• Backfill insurance-related tasks during absences, act as firstline support for insurance queries, escalate complex issues, and maintain a working knowledge of insurance requirements for submissions.

• Ensure High Standards of Independence, Quality & Accountability
• Work autonomously, validate all outputs before submission, manage errors constructively, and balance speed with accuracy in time-critical environments.

• Collaborate Effectively Across Teams & Stakeholders
• Maintain professional, clear communication; support team consistency and knowledgesharing; and contribute positively to cross-functional collaboration.

Requirements:

• Experience in bids, tenders, contracts, or complex, deadline-driven coordination roles.
• Comfortable managing multiple workstreams with competing priorities.
• Able to interpret requirements, assess risk and apply judgement within agreed frameworks.
• Strong organizational skills, attention to detail, and excellent communication abilities are essential.
• Fluent in English, both verbally and in writing.

Office Location: RCBC Plaza, Makati

Working Hours: 1:00 PM to 10:00 PM, Monday to Friday
