About the Role
We are seeking a detail-oriented Benefits Administration Specialist to manage and support US employee benefits programs across multiple clients. This role combines benefits administration expertise, benefits technology management, carrier coordination, compliance oversight, and client support.
The ideal candidate has hands-on experience with Benefits Administration platforms, open enrollment management, EDI processes, carrier integrations, and US employee benefits regulations. You will play a critical role in ensuring accurate benefit elections, carrier data synchronization, premium reconciliation, and a seamless employee benefits experience.
This position requires working during US business hours. Candidates must be comfortable working permanent night shifts to support US-based clients and stakeholders.
Responsibilities
- Configure and maintain Benefits Administration platforms such as Employee Navigator, Ease, Workday, bswift, ADP, or similar systems.
- Set up plan designs, eligibility rules, contribution strategies, and employee classes.
- Support new client implementations and annual renewal projects.
- Build, test, audit, and launch Open Enrollment cycles.
- Troubleshoot enrollment issues, system discrepancies, and user access concerns.
- Manage EDI file transfers between benefits platforms and insurance carriers.
- Review EDI error reports and resolve enrollment discrepancies.
- Process manual carrier updates and non-EDI enrollments.
- Perform monthly premium billing reconciliations.
- Validate enrollment data against carrier invoices and payroll deductions.
- Maintain compliance with COBRA, ACA, HIPAA, ERISA, and other applicable regulations.
- Assist clients with escalated benefits inquiries and claims issues.
- Coordinate with carriers, brokers, HR teams, COBRA administrators, and third-party vendors.
- Generate enrollment reports, carrier submissions, and audit documentation.
- Maintain accurate employee benefit records and plan documentation.
Qualifications
- Minimum 2–4 years of Benefits Administration, HR Operations, Benefits Technology, or TPA experience.
- Hands-on experience with Benefits Administration platforms such as Employee Navigator, Ease, Workday, bswift, Rippling, ADP, or similar systems.
- Strong understanding of US employee benefits programs.
- Experience managing Open Enrollment cycles from setup through carrier submission.
- Knowledge of EDI processes and carrier integrations.
- Advanced Microsoft Excel or Google Sheets skills including Pivot Tables, XLOOKUP, VLOOKUP, data validation, and data scrubbing.
- Understanding of COBRA, ACA, HIPAA, ERISA, FMLA, and Section 125 regulations.
- Experience working with medical, dental, vision, life, disability, HSA, FSA, PPO, and HDHP plans.
- Strong analytical, organizational, and troubleshooting skills.
- Excellent written communication and client-facing abilities.
- Ability to manage multiple deadlines during high-volume enrollment periods.
- Must be willing to work onsite (Clark, Pampanga).
