The Business Development Specialist – Operations & Support is responsible for ensuring the smooth execution of budget tracking, reimbursement processes, partner gifting, and administrative support for the Business Development team.
This role plays a critical part in enabling the BD team to operate efficiently by managing financial coordination, maintaining partner engagement touchpoints (e.g., gifting and reminders), and ensuring all operational processes are handled accurately and on time.
Key Responsibilities
1. Budget Tracking & Management
- Maintain and track BD team budgets, including events, partnerships, and operational expenses
- Monitor budget utilization and ensure alignment with approved allocations
- Prepare budget summaries and reports for internal review
- Flag potential overspending risks and support cost control efforts
2. Reimbursement & Payment Coordination
- Handle reimbursement submissions and claims for the BD team
- Ensure all documentation is complete and compliant with internal finance policies
- Coordinate with Finance for timely processing of payments and reimbursements
- Track reimbursement status and resolve any discrepancies
3. Partner Gifting & Engagement Support
- Manage partner gifting initiatives including sourcing, procurement, and delivery
- Ensure timely execution of gifting for key occasions (e.g., holidays, milestones, VIP engagement, birthday etc.)
- Maintain records of gifting history and budget utilization
- Support creative ideas to enhance partner experience through gifting
4. Partner Database & Reminder Management
- Maintain and update partner information database, including key contacts and important dates
- Track and manage birthday reminders and key partner milestones
- Coordinate internal reminders to ensure timely engagement by Account Managers
- Support relationship-building efforts through proactive coordination
5. Administrative & Operational Support
- Provide day-to-day administrative support to the BD team
- Assist in logistics coordination for meetings, events, and partner engagements
- Ensure proper documentation and filing of:
- Expenses
- Budget records
- Partner engagement activities
6. Ad-hoc Support
- Support additional tasks and projects assigned by the Account Managers or team lead
- Assist in cross-functional coordination when required
- Take ownership of operational tasks to improve team efficiency
Qualifications
- Bachelor's degree in Business Administration, Finance, or related field
- 1–3 years of experience in operations, admin, finance coordination, or similar roles
- Experience in handling budgets, reimbursements, or expense tracking is preferred
- Strong attention to detail and organizational skills
- Good coordination and communication skills
- Proficient in Microsoft Excel and basic reporting
