Backend Operations Coordinator (Media & Community)

Job Overview:

Our client is looking for a tech-savvy Backend Operations Coordinator (Media & Community) to manage daily operations and community engagement for a high-growth founding team. In this role, you will be responsible for maintaining tool workflows and leveraging AI tools like Claude and ChatGPT to repurpose video transcripts into engaging written content while strictly following established SOPs.

Client Overview:

A rapidly growing content and media-driven business based in Austria. They manage a subscriber base of over 50,000 through YouTube, Substack, and Circle, and prioritize high-quality community engagement and AI-powered workflows.

Schedule:

Monday - Friday, 8:00 AM - 5:00 PM CET, with 1 hour unpaid break (40 work hours per week) (at least 2–3 hours of overlap within Central European Time)

Responsibilities:

• Coordinate and maintain workflows across Notion, Trello, and Substack.
• Manage multiple email inboxes and community messaging platforms to ensure timely communication.
• Repurpose video transcripts into blog posts and newsletters using AI tools and detailed SOPs.
• Monitor and respond to community DMs, comments, and inquiries on Circle and social platforms.
• Support back-office operations and email list management for a 50,000+ subscriber base.
• Execute recurring administrative tasks with high accuracy and attention to detail.

Requirements:

• Proven experience in administrative support and backend coordination.
• Strong written communication skills with the ability to adapt professional tones across platforms.
• Exceptional ability to follow detailed SOPs independently and execute repeatable tasks.
• High level of comfort and curiosity regarding AI tools like ChatGPT and Claude is good to have but not required.
• Proficiency with Notion, Trello, Substack, Circle, and Canva is a plus.
• Bonus if you have experience with email marketing tools like Kit or ClickFunnels.
