What is the job
The Administrative Assistant is responsible in supporting food and workplace safety operations by maintaining organized documentation, ensuring audit readiness, and assisting with reporting and coordination. The role ensures compliance records are accurate, accessible, and consistently maintained.
Responsibilities:
- Organizes and maintains digital and physical files for food safety and workplace safety records.
- Creates and maintains structured filing systems to ensure easy access and document control.
- Assists in preparing documentation for audits (e.g., USDA, DOH, FDA, PRIMUS).
- Ensures logs and records are complete, accurate, and properly filed.
- Tracks and follows up on missing or incomplete documentation.
- Assists in creating PowerPoint presentations for food safety and workplace safety training.
- Updates and maintains training materials and documentation.
- Supports reporting activities by compiling data, reports, and required documentation.
- Assists in managing schedules, tasks, and follow-ups for the Director.
- Supports cross-functional coordination and special projects as needed
Qualifications:
- 1-3 years of experience in administrative support, operations support, or data/documentation roles.
- Experience handling documentation, reports, or compliance-related records.
- Experience in Microsoft Office tools (Excel, Word, PowerPoint) for documentation and reporting.
- Must have stable employment history.
