Role Overview

We are seeking an experienced and detail-oriented Property Damage Coordinator to manage the full lifecycle of property damage claims—from initial filing through settlement. As the primary point of contact for clients, insurance adjusters, repair shops, and rental car partners, this role ensures smooth coordination, timely communication, and accurate documentation throughout the claims process.

Key Responsibilities

File first-party and third-party property damage claims with insurance carriers on behalf of licensed insurance counselors.

Coordinate rental car arrangements with insurance companies and enterprise partners.

Contact insurance adjusters via phone and email to obtain claim status updates.

Provide proactive client communication regarding claim progress, timelines, and next steps.

Identify required documentation such as police reports, photos, estimates, and proof of ownership.

Follow up with clients to secure missing documentation and ensure claim completeness.

Draft professional correspondence for U.S.-based insurance counselor review and signature.

Submit supporting documents—including repair estimates, appraisals, and invoices—to insurance carriers.

Track vehicle repair progress with body shops and relay updates to clients.

Update claim status and notes in HubSpot daily.

Notify the billing team when settlements are received for final invoicing.

Qualifications

At least college level education

5+ years of experience in claims management, insurance operations, or client account management.

Experience In Auto Property Damage Claims Is Required.

Excellent written and spoken English communication skills.

Strong organizational abilities with the capacity to manage 50 active claims simultaneously.

Persistent follow-through and ability to coordinate across multiple stakeholders.

Professional phone manner when dealing with clients, adjusters, and vendors.

Proficient in CRM systems, Google Workspace, and document management.

Comfortable navigating insurance carrier portals and claim management systems.
