Role Overview

  • PeoplePartners is partnering with one of Australia's respected property advisory businesses to find an exceptional AU Real Estate Transactions/Acquisitions Coordinator.
  • This is not a just keep the admin moving role.
  • You'll become the operational backbone of a high-performing acquisitions division — the person ensuring every deal, deadline, due diligence pack, contract milestone, and settlement process runs like clockwork.
  • If you genuinely enjoy bringing order to moving parts, spotting risks before others see them, and being the calm operator in the middle of high-value property transactions, this role is built for you.
  • Working closely with Senior Buyer's Advocates, you'll support Australian residential property acquisitions from due diligence through to settlement.
  • You won't be cold-calling clients or selling property.
  • Instead, you'll own the operational side of transactions — coordinating workflows, maintaining compliance and documentation, managing timelines, and ensuring every moving piece stays aligned.
  • This role sits at the center of the acquisitions engine.

Key Responsibilities:

  • Prepare detailed property due diligence packs.
  • Conduct comparable sales and suburb research.
  • Coordinate building and pest inspections, strata reports, and property searches.
  • Manage Form 6 issuance and contract workflows.
  • Track cooling-off, finance, building & pest, and settlement deadlines.
  • Maintain accurate HubSpot pipeline records.
  • Produce weekly acquisitions pipeline reports.
  • Coordinate schedules across the acquisitions division.
  • Liaise professionally with conveyances and selling agents.
  • Monitor transaction progress and escalate risks proactively.
  • Maintain accurate contract and compliance records.
  • Support operational workflow improvements across the acquisitions team.

Job Requirements:

Required Qualifications (Must-Have):

  • Experience in buyer's advocacy, property transactions, conveyancing support, real estate administration, property operations, or contracts administration.
  • Strong understanding of Australian property transaction workflows.
  • Knowledge of cooling-off periods, conveyancing coordination, and contract milestones.
  • Experience managing CRM pipelines and transaction tracking.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple transactions and competing priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to work proactively and independently in a fast-paced environment.

(Nice-to-Have) Qualifications:

  • Experience using HubSpot CRM.
  • Experience supporting Australian residential property acquisitions.
  • Exposure to due diligence coordination and settlement processes.
  • Experience preparing pipeline or operational reporting.
