This role is not an executive assistant or virtual assistant position. It is a hands-on accounts and finance administration role suited to someone with a strong background in invoicing, job costing, and finance support within a trade, construction, or service-based environment.

We are looking for someone who can work independently, take ownership of financial processes, and maintain a high level of accuracy without close supervision. This is not a junior or data-entry-only role.

Key Responsibilities

  • Raising and issuing invoices through SimPRO (or similar job management systems)
  • Allocating labour, materials, and variations to support accurate job costing
  • Supporting accounts receivable, including invoice follow-ups and reconciliation support
  • Maintaining accurate financial and job-related documentation
  • Assisting with month-end processes and reporting preparation
  • Liaising with operations and project managers to resolve billing or job cost discrepancies
  • Maintaining and improving finance and accounts administration processes
  • Proactively identifying errors, discrepancies, or inefficiencies and escalating early

Candidate Requirements

  • Proven experience in accounts administration, finance admin, or bookkeeping roles (Executive Assistant or Virtual Assistant-only backgrounds are not suitable)
  • Strong experience with SimPRO preferred, or similar job management systems
  • Experience with accounting platforms such as MYOB, Xero, or equivalent
  • Solid understanding of job costing and invoicing in trade or service-based businesses
  • High attention to detail and strong numerical accuracy
  • Excellent written and spoken English
  • Ability to work autonomously, manage priorities, and take initiative
  • Comfortable working in a structured, process-driven environment
