The Associate HRIS Analyst is responsible for the day-to-day administration and support of multiple Human Resources Information Systems (HRIS), including ADP Vantage, Oracle EBS, Oracle Cloud, UKG Workforce Now, and SAP SuccessFactors Employee Central. This role supports key HR operations by processing employee lifecycle transactions, providing user support through ServiceNow, and managing HRIS-related communications.
The Associate HRIS Analyst also plays a critical role in ensuring data integrity and reporting accuracy through data validation and quality assurance activities. Working closely with HR and Finance teams, this position helps monitor funded positions and their expiry dates within SuccessFactors. Additionally, the role contributes to continuous process improvement initiatives, maintains electronic employee records, participates in system testing for upgrades and enhancements, develops user documentation, and supports third-party HRIS audits.
What You'll Do
- Assist with the day-to-day administration and support of HRIS platforms, including ADP Vantage, Oracle EBS, Oracle Cloud, UKG Workforce Now (MyTime), and SAP SuccessFactors Employee Central.
- Process employee lifecycle transactions, including new hires, terminations, transfers, promotions, compensation changes, and position management updates across relevant systems.
- Utilize ServiceNow to provide frontline support to users and identify recurring support trends.
- Manage internal HRIS email correspondence, responding to inquiries and work requests in a timely and professional manner.
- Assist with data validation and quality assurance activities to ensure reporting accuracy and data integrity across systems.
- Partner with HR and Finance teams to track and monitor funded positions and their expiry dates within SuccessFactors.
- Recommend and support the implementation of business process improvements involving HRIS components.
- Maintain and update electronic employee files, ensuring all documentation is processed accurately and efficiently.
- Participate in system testing cycles for upgrades, patches, and new feature implementations, including documenting test scripts and results.
- Develop and maintain user guides, job aids, and standard operating procedures (SOPs) for HRIS-related processes.
- Compile audit evidence and participate in third-party audits of HRIS information and records.
Requirements
- 1–2 years of HR-related experience, preferably in HRIS administration or HR advisory functions within a mid-sized organization.
- Experience working with HRIS platforms, with strong preference given to candidates with ADP Vantage and/or SAP SuccessFactors Employee Central (EC) experience.
- Intermediate proficiency in Microsoft Excel.
- Ability to handle highly sensitive and confidential information while adhering to the World Wide Technology and Softchoice Code of Conduct.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Ability to collaborate effectively with cross-functional teams while also working independently when required.
- Excellent documentation skills, including the ability to create and maintain process documentation for both new and existing activities.
- Bachelor's degree or College Certificate in Human Resources, Information Technology, or a related field preferred.
