Job Description

We're looking for a highly organized, proactive, and detail-oriented Executive Assistant to the Group CFO to provide strategic administrative and operational support to one of our key business leaders.

What You'll Do:

  • Document Management and Follow Throughs
  • File/Documentation Management: Maintain all documents submitted to or issued by the Group CFO.
  • Meeting Coordination and Documentation: Capture action items and owners of deliverables in all organizational meetings, distributing them to the team (Monthly Operating Review, town hall meetings, staff meetings, and major projects/initiatives).
  • Facilitate daily administrative tasks: This includes editing, proofreading, formatting, design/production, accomplishment, and data entry of documents and forms.
  • Expense Report Management: File and organize expense reports for travel, relocation, and insurance.
  • Budget Analysis: Analyze and develop office or department budgets by reviewing monthly actuals, checking for posting errors, ensuring correction of errors, and tracking team travel spending in accordance with established budget.
  • Conference Room Management: Manage the conference room, coordinate all bookings and any video conferencing requirements, organize catering, order office supplies, coordinate uniform orders, order business cards, and perform other assigned office administrative duties.
  • Calendar / Schedule Management
  • Schedules appointments, conference calls and employee meetings with internal and external parties on behalf of the Group CFO.
  • Travel Management / Desk
  • Manages travel and meeting arrangements for the Group CFO and other senior managers as required. This includes flights, hotels, ground transportation, developing and communicating itineraries and agendas. Additionally, makes all arrangements and organization concerning group or conference meetings.
  • Performs other duties and responsibilities that may be assigned from time to time.

What We're Looking For:

  • Has at least 4 years experience in an administrative supporting role, experience in working with a foreign worker is a plus
  • Proficiency in Windows Office Suite, including Word, Excel, PowerPoint and Outlook
  • Technological experience desirable (SAP, SharePoint, Travel & Expense technology)
  • Must be agile and adaptable to sensing/feedback.
  • A powerful collaborator, and eager to learn new things.
  • Strong work ethics, organized and independent, keen attention to details.
  • Excellent organization skills, results and action-oriented approach to work.
  • Excellent time management skills and operational discipline.
  • Strengths with strategic and analytical thinking
  • Strong command of the English Language, both verbal and written
  • Clear ability to handle multiple priorities.
  • Strong thinking/problem-solving skills which can be applied to business processes with a can-do attitude.
  • Location: 35th floor of Ayala Triangle Gardens Tower 2, located at Paseo de Roxas corner Makati Avenue, Makati City, 1226 Metro Manila, Philippines
