Who are you
We're looking for a Phillipines-based Associate Director, Media Operations esnure that all media operations comply with obligations outlined in the Master Service Agreement (MSA) and Statement of Work (SOW) and general agency and client requirements associated with delivering paid media services.
The ideal candidate will manage financial stewardship, oversee approval and reconciliation processes, and act as the primary contact for legal inquiries and first line of defense day-to-day system governance (e.g., Major Media platforms across Meta, TikTok, Google, as well as other Media operations tools such as Grasp and MediaOcean, etc.) related to Media Operations.
This role reports into the VP/ Head of Media, APAC, with a dotted line into the central Global Media Operations team.
Your EXPERTISE (The skills and knowledge needed to excel in this role)
- Ensure all media operations comply with the terms and deliverables specified in the MSA(s) and SOW(s) for assigned client(s). This includes but is not limited to,
- any financial stewardship requirements (approvals, authorizations, monthly reconciliations or forecasting, etc.), and any other reporting requirements
- staffing and/or conflict restrictions
- vendor engagement processes (multiple bids, bid waivers, subcontracting restrictions, etc.)
- storage and maintenance of client approval records and other necessary documentation
- proof of performance and/or inventory requirements (viewability, fraud rates, etc.),
- brand safety and suitability protocols,
- data privacy requirements
- system utilization and general access
- vendor onboarding and custom terms
- (Where relevant) Oversight and partnership with VX entities (outside of VaynerMedia) that are performing services for Client under the MSA. Monitoring and partnering with these entities to ensure compliance in the same manner as VM.
- Manage processes around financial aspects of media operations, including budgeting, forecasting, and financial reporting to ensure efficient use of resources and financial accountability.
- Oversee and streamline approvals, authorizations, and reconciliation processes between the client, the media team, and the internal commercial finance team.
- Act as the key point of contact for all legal and financial inquiries related to media operations, including vendor approvals, custom terms negotiation, vendor onboarding, and contract approvals.
- Knowledge of Client industry guidelines, best practices and regulatory requirements (whether Client-provided or otherwise)
- Expert in all VX processes and policies and serve as the appropriate route for escalations (as needed).
- Implement and maintain system management and governance structures to ensure operational continuity and compliance with internal and external standards, building on existing central management and oversight from central Media Operations team.
- Build and maintain centralized resources (such as a knowledge hub, documentation, and/or internal website) that outline necessary processes and client information for ease of onboarding and internal education.
- Key POC for onboarding new team members on ways of working and processes. Serve as the point of consistency across the team around contractual and operational requirements and ensure the entire team comprehends and abides by these requirements.
- Develop processes and procedures that enhance operational efficiency within the team while ensuring compliance with all legal and regulatory requirements.
- Liaise with internal and external stakeholders to maintain clear communication and resolve issues promptly.
- General knowledge of production requirements or other requirements for media-adjacent functions (e.g., trafficking processes, key Business Affairs areas of escalation, VaynerX Social Media Guidelines, etc.).
- Monitor and report on media operation metrics, providing insights and recommendations to senior management regarding potential issues or areas of efficiency improvement.
- Regular (i.e., monthly/quarterly) Client Media Operations status reports to Central Media Leadership, as well as ad hoc escalations to get ahead of team support needs (e.g., custom QA roadshow, Grasp implementation, and immediate red alerts of overspend/errors that have make good potential, etc.).
Qualifications
- 5-7+ years of experience in media, with experience across buying, planning and team management.
- Strong knowledge of the legal and financial aspects of media, with a keen eye for and demonstrated experience in development and implementation of team operations and processes.
- Demonstrated ability in managing complex clients and process adherence.
- Strong leadership skills with an ability to work and engage effectively with cross-functional teams and communication across levels.
- Excellent communication, negotiation, and interpersonal skills.
- Proven analytical and problem-solving abilities.
- Ability to operate effectively in a fast-paced, dynamic environment.
