Job Description

About The Team

The Assistant Warehouse Manager (Resources Lead) is the single named onsite owner for all three resource pillars — Manpower, Consumables, and Equipment — at the warehouse level. This role closes the structural gap between HQ functions (OPEX/Manpower, VMP, Corporate IT, Expansion) and day-to-day warehouse operations by owning the full lifecycle of resource management at site level, across five workflow stages: Rationalize, Plan, Request, Monitor, and Record.

In addition to resource management responsibilities, the AWHM provides operational continuity by covering the Warehouse Manager during absences and deputizing on-floor execution as needed, preserving the succession pipeline.

The ideal candidate is operationally sharp, detail-oriented, and able to manage multiple resource workstreams simultaneously while maintaining accurate data for HQ planning.

Job Description

Duties and Responsibilities:

Manpower Management

  • Rationalize: Define HC standards by function based on volume and productivity baselines; determine long-term vs. seasonal nFTE mix; track overall WH productivity vs. speed metrics (CFR, IB OLA, Return)
  • Plan: Prepare site HC plan vs. volume forecast (BAU vs. campaign planning); align with OPEX / Manpower on requirements
  • Request: Submit manpower requests to vendors per agreed COT; raise OT requests for approval; ensure on-time and accurate requests aligned with each function's needs
  • Monitor: Track daily attendance, actual HC allocation to functions, planned productivity/CFR vs. actual, and Fill Rate %; record in WMS; minimize vendor disputes due to incorrect attendance records
  • Record: Maintain activity tagging by function and OT hours; support OPEX / Manpower in vendor attendance reconciliation

Consumables Management

  • Rationalize: Define usage assumptions for planning; track actual usage rate; maintain safety stock quantity (safe DOC) per site
  • Plan: Forecast demand from ADO by function; align procurement cycle with VMP
  • Request: Generate PR per site on schedule; ensure request accuracy and lead time compliance
  • Monitor: Track delivery and consumption vs. forecast; maintain zero stock-out days; monitor Consumable CPI vs. speed metrics and space occupied vs. planned
  • Record: Receive and distribute consumables to functions; maintain accurate on-hand inventory records

Equipment Management

  • Rationalize: Assess equipment needs vs. utilisation; identify capex and replacement requirements; track asset utilisation rate
  • Plan: Prepare capex and replacement plan per site; align with VMP (non-IT equipment) and Corporate IT (IT equipment)
  • Request: Submit PR for non-IT equipment to VMP; submit IT equipment requests to Corporate IT; ensure on-time and accurate requests
  • Monitor: Track assets, assignments, and maintenance schedules; report operation disruption / downtime; monitor G&A CPI (breakdown to Asset & Equipment)
  • Record: Maintain assign in/out log; keep asset register accurate; coordinate maintenance records

WHM Coverage and Operational Continuity

  • Cover the Warehouse Manager during absences — assume full floor management responsibilities across all warehouse functions
  • Deputize on-floor execution as needed to ensure operational continuity across shifts and during peak periods
  • Serve as the succession candidate for the WHM role; maintain working knowledge of all warehouse functions

Stakeholder Interface

  • Serve as the single named onsite point of contact for OPEX / Manpower, VMP, Corporate IT, and Expansion for all resource-related matters at the site
  • Escalate resource constraints, procurement delays, or supply gaps to the relevant HQ function with timely and accurate data
  • Participate in regular site reviews and provide clean data to support network-level planning at HQ

Requirements

Educational Background & Certifications Requirement:

Bachelor's degree in Industrial Engineering, Supply Chain Management, Business Administration, Operations Management, or a related field.

Experience Requirement

At least 5 years of experience in warehouse operations, supply chain, or resource management. Experience in manpower coordination, procurement, or inventory management is a strong advantage. Prior supervisory or team leadership experience preferred.

Knowledge and Skills

  • Strong operational understanding of warehouse resource management — manpower planning, consumables, and equipment
  • Familiar with manpower agency coordination, vendor liaison, and procurement request workflows
  • Analytical — able to track performance vs. targets across multiple resource pillars simultaneously
  • Proficient in Google Sheets / Excel; WMS or ERP system experience is an advantage
  • Detail-oriented with strong record-keeping and documentation discipline
  • Effective communicator — able to interface clearly with both onsite teams and HQ functions
  • High ownership mindset — takes full accountability for resource availability, data accuracy, and WH continuity
  • Able to operate under shifting priorities, particularly during peak volume periods or WHM absences
