Job Summary
To provide administrative support to the Corporate Secretary by ensuring continuity and professionalism in the multifarious functions of the Office of the Corporate Secretary.
Responsibilities
- Supervises preparation and dissemination of all notices of meetings as well as materials and visual presentations to be used during Committee and Board meetings
- Supervises transcription of minutes and proceedings of Committee and Board meetings
- Manages all records and documents of the office and ensures confidentiality
- Attends to all business correspondences and communications of the office i.e. Board Resolution, Secretary's Certificate, memoranda, etc.
- Provides administrative support to the Board of Trustees and the Corporate Secretary during meetings
- Assists Corporate Secretary in scheduling of Board and Committee meetings
- Monitors budget to ensure accomplishment of programs to achieve set objectives
- Validates Program Review and Analysis (PRA) data and departmental budget
- Oversees daily work and activity of staff
- Maintains manpower in the assigned section. Sets performance goals, monitors team productivity, and provides performance evaluations and constructive feedback to subordinates
- Evaluates existing operational policies, practices and techniques on assigned section and recommends improvements
- Performs tasks as provided for in the updated and approved PSMBFI Operations Manual
- Performs other related functions as directed by superiors
Qualifications
- Bachelor's degree, preferably with MBA or related post-graduate degree
- At least 3 years of related experience
- Proficient in MS Office applications
- Strong analytical, composition, prioritizing, and people-management skills
- Ability to make sound decisions and maintain confidentiality
- Excellent written and oral communication skills
