You own the operational follow-through of every M&A transaction for a U.S. insurance brokerage's acquisition and affiliate network — chasing seller documentation, coordinating pre-close due diligence, setting up newly acquired agencies across every internal system and vendor, and driving post-close transition tasks to completion. Your work follows established M&A operational workflows, vendor onboarding sequences, and transition timelines aligned with deal calendars and client expectations.

This is not a general admin role. You operate as the operational right hand to the Director of M&A Operations, coordinate directly with sellers, subsidiary agencies, and third-party vendors, and are trusted to keep every acquisition on track without repeated clarification. Best suited for professionals who thrive on multi-stakeholder coordination, value structured follow-through, and prefer proactive ownership over reactive task work.

You're Likely a Strong Fit If You Have

• 3–5 years of executive assistant, project support, or comparable coordination experience (non-negotiable)
• Demonstrated ability to manage multiple concurrent priorities and shifting deadlines in a fast-paced environment
• Working proficiency in Microsoft Word, Excel, and Outlook (non-negotiable)
• Exceptional written and spoken English with strong spelling, grammar, and punctuation (non-negotiable)
• Strong attention to detail with a track record of accurate, deadline-driven output (non-negotiable)
• Willingness to work a permanent night shift (11:00 PM–8:00 AM PH Time) aligned with U.S. business hours from a stable home-office setup

Strong Signals

• College graduate in Business, Finance, Communications, or a related field
• Prior experience supporting a U.S.-based insurance brokerage, professional services firm, or M&A / private-equity-backed organization
• Familiarity with insurance or business vendors such as ADP, Empower, HIB 24/7, Mineral, Looop, or comparable platforms
• Experience coordinating IT migrations, agency onboarding, or subsidiary integrations
• Comfort using AI tools to accelerate document tracking, follow-up drafting, and status reporting

What You'll Own

Pre-Close M&A Operational Due Diligence

You own the operational threads of every deal in flight — from seller follow-up through vendor coordination.

• Work alongside the Director of M&A Operations on acquisition strategy and operational due diligence
• Participate in weekly acquisitions calls with the M&A team
• Follow up with sellers to secure documentation and action items on deadline
• Disseminate information to internal teams and vendors (ADP, Empower, and similar) during pre-close preparation

Post-Close Integration & Setup

You stand up newly acquired agencies across every system, vendor, and record they touch.

• Initiate and follow up on vendor and system setup requests upon close (HIB 24/7, Mineral, Looop, and similar)
• Update internal databases and marketing assets (contact guides, website listings) as part of post-close due diligence
• Customize transition documents based on existing templates — including Welcome Library materials and Year-One Post-Close Goals and Initiatives
• Follow up with subsidiary agencies to ensure post-close transition items are completed on deadline

Subsidiary Agency IT Migrations

You keep every acquired agency's IT migration moving from kickoff to completion.

• Coordinate migration project initiation with the third-party vendor (Strix)
• Facilitate meetings with the affiliate to review project scope and timelines
• Follow up with the affiliate and vendor to keep deadlines on track
• Provide feedback to the Director of M&A Operations to drive project efficiency
