Your Role
As an
Assistant Community Manager, you will support the Community Manager in overseeing day-to-day community operations, coordinating resident concerns, assisting with Board activities, and ensuring administrative and property-related tasks are completed accurately and on time.
Administrative & Board Support
- Assist the Community Manager with daily community operations and the implementation of Board directives.
- Prepare and distribute Board meeting materials, including agendas, management reports, meeting packets, and supporting documentation.
- Provide administrative and logistical support during Board meetings, including taking minutes, managing meeting technology, and tracking action items through completion.
- Maintain organized community records, calendars, contracts, resolutions, claims documentation, and other association records.
Resident Support & Communication
- Serve as a primary point of contact for homeowners and committee members, addressing routine concerns and escalating complex matters to the Community Manager.
- Monitor community communication channels and respond to homeowner questions requiring personalized assistance beyond automated support.
- Coordinate homeowner resale and transition activities, including resale certificates, disclosure packages, and ownership account updates.
- Process resident architectural applications and consolidate community feedback for review by leadership.
Financial Management
- Process Accounts Payable (A/P) by reviewing invoices, validating AI-generated cost center coding, routing items for appropriate approval, and monitoring payment status.
- Track overdue homeowner accounts, issue late payment notices, respond to ledger enquiries, and coordinate with collection agencies or legal representatives when required.
- Assist with monthly financial statement reviews and prepare preliminary financial summaries for management review.
Maintenance & Vendor Coordination
- Manage maintenance and work order requests from submission through completion, including sourcing vendors, obtaining quotations, coordinating property access, and following up on outstanding work.
- Support vendor onboarding by reviewing registration information and validating licenses, insurance certificates, and bid documentation within the Nexova platform.
- Assist the Community Manager with gathering information for capital improvement projects and coordinating routine property inspections.
Technology & Data Management
- Maintain accurate homeowner, vendor, financial, and association records within Nexova and related systems.
- Utilize Nexova's AI-powered tools to improve administrative workflows, increase responsiveness, and support efficient community operations.
- Serve as a human quality-control point by reviewing AI-generated recommendations and ensuring information and processes are accurate before completion.
What You Need
Non-negotiables
- Experience in property management, community association management, administrative support, customer service, or a related field.
- Strong organizational and administrative skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal English communication skills.
- Strong attention to detail when handling resident records, financial information, invoices, and community documentation.
- Ability to handle homeowner concerns professionally while recognizing when issues need to be escalated.
- Comfortable working with technology platforms and learning new systems quickly.
- Ability to work independently while collaborating effectively with Community Managers, Board members, vendors, residents, and internal teams.
Preferred Skills/expertise
- Experience supporting HOA/community association management or residential property management.
- Familiarity with Accounts Payable, homeowner ledgers, collections, or basic financial reporting.
- Experience coordinating maintenance requests, vendors, work orders, or property inspections.
- Experience with community management, property management, CRM, or workflow platforms.
- Familiarity with AI-powered business tools and automated workflow systems.
- Experience supporting Board meetings, preparing meeting materials, and maintaining association records.
