Asset & Accounting Coordinator (Up to ₱50,000 | Remote | FREE AI Certification)

Anywhere in the Philippines | Remote | 9:00 PM – 6:00 AM PHT | Monday to Friday

If you have a sharp eye for detail, a solid foundation in reconciliation, and the discipline to keep asset records clean across a growing multi-branch organization, this role was built for you. As an Asset & Accounting Coordinator, your first priority will be ensuring that asset data and accounting records align every month, with full ownership of the reconciliation cycle and asset management system from day one.

This is a remote, night-shift role supporting a US-based multi-branch landscaping services company. Beyond reconciliation and asset tracking, you will also manage the company's fleet fuel card program, support the onboarding of newly acquired branches, and serve as the go-to person for branch inquiries related to assets and operations. YOU'RE LIKELY A STRONG FIT IF YOU HAVE

  • At least 3 years of experience in accounting coordination, asset tracking, record keeping, or a related administrative role
  • Hands-on experience performing reconciliations — asset, accounting, or financial
  • Intermediate Excel skills, including VLOOKUP, HLOOKUP, and basic formulas
  • Strong communication and follow-up skills, with the ability to coordinate across multiple teams or branch locations

STRONG SIGNALS

  • Experience using any asset management system or asset tracking platform
  • Background in fleet or fuel card management using any similar program or platform
  • Prior work with industrial service, construction, or equipment-based organizations
  • Familiarity with landscaping tools, equipment types, or service vehicles is a plus

RESPONSIBILITY PILLARS

Asset Management

You own the accuracy of the company's asset records and ensure all activity is captured, documented, and properly maintained across all locations.

  • Enter and maintain asset records in the company's asset management system, covering new additions, disposals, and intercompany transfers
  • Coordinate with branch teams to retrieve purchase orders, asset tag numbers, and supporting documentation
  • Support bi-annual physical inventory audits to ensure accuracy and accountability across all locations
  • Maintain organized asset documentation and uphold data integrity within the asset management system

Month-End Reconciliation & Reporting

You ensure that asset and accounting data align each month, discrepancies are resolved promptly, and month-end close is well-supported.

  • Perform monthly reconciliations between asset records and accounting data
  • Identify and resolve data discrepancies in a timely manner, escalating issues where needed
  • Collect and validate asset and fleet data from branches, following up as necessary to ensure completeness
  • Assist with reporting and tracking documentation in support of the month-end close

Fuel Card Management

You manage the company's fleet fuel card program end-to-end and serve as the primary point of contact for all related inquiries.

  • Order new fuel cards for team members and create PINs for newly onboarded employees
  • Deactivate fuel card access for separated employees and maintain accurate assignment records
  • Ensure timely updates to fuel card records as personnel changes occur
  • Resolve fuel card issues and respond to inquiries from branch teams professionally and on time

Acquisition & Onboarding Support

You support the smooth integration of newly acquired branches by coordinating the administrative setup needed to get teams up and running.

  • Coordinate uniform orders for incoming team members at newly acquired locations
  • Set up fuel card access and create fuel PINs for new employees during the onboarding process
  • Assist with administrative tasks related to equipment, vehicles, and asset setup for new locations
  • Coordinate with procurement and operations teams to ensure all onboarding needs are met on schedule
