Your Role:
As an AR/AP Specialist, you will play a hands-on role accountable for maintaining process control and data integrity of the fixed asset register within the MC (CMMS) maintenance system. You will support a multi-site maintenance operation by coordinating asset audits, reconciling discrepancies, and delivering accurate reporting to drive best practice, cost efficiency, and timely maintenance execution.

You will:
  • Manage the end-to-end Accounts Payable process for maintenance vendors, ensuring all invoices are matched against work orders and CMMS records.
  • Oversee Accounts Receivable functions, including billing for damaged assets, tenant recharges, or insurance claims related to site maintenance.
  • Reconcile vendor statements and resolve discrepancies between billed amounts and contracted rates within the MC (CMMS) system.
  • Maintain the Fixed Asset Register (FAR) from a financial perspective, coordinating with operations to track additions, disposals, and depreciation.
  • Process and audit work orders to ensure financial coding is accurate before payment release, meeting strict team KPIs.
  • Monitor maintenance budgets, providing real-time analysis on actual vs. planned spend to support cost-control decisions.
  • Coordinate with Maintenance Category Managers to ensure preventative maintenance contracts are billed correctly and on schedule.
  • Track and report on financial KPIs, such as Days Payable Outstanding (DPO) for contractors and cost-per-asset metrics.
  • Facilitate month-end closing activities for the maintenance department, including accruals for work performed but not yet invoiced.
  • Build and maintain relationships with external contractors to ensure timely invoicing and resolve payment queries.
What You Need:
Non-negotiables
  • Experience in AR/AP roles, preferably within a high-volume, multi-site maintenance, retail, or property environment.
  • Strong financial data management skills, with a high level of proficiency in Excel and accounting software.
  • Experience using CMMS or ERP systems (e.g., SAP, Oracle, or MC) for financial processing.
  • Exceptional attention to detail to catch billing errors or duplicate charges.
Preferred skills/expertise
  • Knowledge of Fixed Asset accounting, including coordination of disposals and write-offs with Finance teams.
  • Strong analytical capability to identify cost-saving opportunities and spend leakage.
  • Excellent communication skills for negotiating payment terms and resolving vendor disputes.
