Job Description
About the Role
We are looking for People Systems Administrator to support the day-to-day administration, maintenance, and accuracy of employee data and HR systems.
This role is ideal for someone with experience in HR systems/HRIS, data administration, reporting, data validation, and internal user support.
Key Responsibilities
HR Systems Administration
- Maintain accurate employee records across HR systems and platforms.
- Process employee updates including:
- New hires and leavers
- Employment details
- Reporting lines
- Organizational structure changes
- Manage user account setup, access changes, and deactivation requests.
- Maintain forms, workflows, approval routes, and system tasks.
- Support system testing, upgrades, housekeeping, and implementation activities.
- Escalate complex system and data issues when needed.
HR Data & Quality
- Perform regular checks to ensure employee data is accurate and complete.
- Identify, investigate, and correct data discrepancies.
- Support data cleansing, audits, and compliance checks.
- Maintain accurate workforce and employment records.
- Handle confidential employee information securely.
Reporting & Excel
- Prepare routine workforce and management reports.
- Extract and organize HR data for reporting requirements.
- Support KPI, workforce, compliance, and operational reporting.
- Perform basic data analysis using Microsoft Excel.
- Maintain reporting templates, trackers, and data outputs.
- Ensure reports are accurate before submission.
Systems & User Support
- Provide first-line support for HR systems-related queries.
- Assist managers, employees, and internal users with system and process concerns.
- Provide guidance on standard HR system processes.
- Log and monitor system-related queries or cases.
- Escalate technical or complex issues when required.
Process & Continuous Improvement
- Maintain process documentation, user guides, and SOPs.
- Support updates to system and workflow documentation.
- Identify opportunities to improve processes and reduce manual work.
- Help improve data accuracy, reporting, workflows, and system efficiency.
What We're Looking For
- Experience in HR, HRIS, HR systems, data administration, shared services, or a similar environment.
- Experience maintaining employee records and confidential information.
- Experience using HRIS, payroll, workflow, case management, or business systems.
- Hands-on experience with data entry, data checking, and data validation.
- Experience preparing basic reports or management information.
- Strong Microsoft Excel skills, including:
- Data entry
- Filters
- Formatting
- Basic formulas
- Strong attention to detail and data accuracy.
- Good organizational and prioritization skills.
- Strong problem-solving and investigation skills.
- Good written and verbal communication skills.
- Ability to explain systems and processes clearly to users.
- Ability to work independently and escalate issues appropriately.
- Proactive, reliable, and service-oriented.
- Strong commitment to confidentiality and data security.
