What The Day Will Look Like

Client Logistics & Scheduling

  • Coordinate endtoend logistics for wellbeing programmes, including workshops, coaching sessions, health fairs, demos, and onsite or virtual events.
  • Manage scheduling with clients, facilitators, speakers, and internal stakeholders.
  • Ensure all materials, platforms, and event requirements are prepared in advance.
  • Support client communications, preevent preparation and postevent action items

Proposal & SOW Support

  • Format, proofread, and qualitycheck proposals and Statements of Work (SOWs).
  • Maintain version control and a repository of proposals, SOWs, POs, invoices, and signed documents.
  • Track SOW approval status, payment status, revenue allocation, timelines, and contract dependencies.

Vendor Coordination & Reporting

  • Liaise with wellbeing vendors, coaches, and facilitators to confirm availability and programme requirements.
  • Coordinate vendor scheduling, documentation collection, and reporting requirements.
  • Collect event data, attendance, and programme outputs for reporting.
  • Work with the Partnerships team to ensure timely submission of vendor invoices and support with reconciliation.

Revenue & Activity Tracking

  • Maintain trackers for revenue, utilization, activity volume, and programme delivery status across APAC.
  • Provide operational data to support budgeting, forecasting, and pipeline management.
  • Partner with Wellbeing and Partnerships teams to reconcile invoicing and programme completion.

PostDelivery Client Followups

  • Conduct postprogramme followup with clients to gather feedback and confirm next steps.
  • Coordinate NPS surveys, feedback forms, event reports, and postevent deliverables.
  • Ensure all project closure requirements (reports, summaries, invoicing) are completed accurately.

We are looking for a dedicated individual to join us as an APAC Wellbeing Project Coordinator, based in the Philippines and operating as part of Aon's regional Wellbeing team. Skills And Experience That Will Lead To Success

  • Experience in coordination, project support, event management, or operations (ideally 5+ years).
  • Strong organizational and timemanagement skills; able to manage multiple APACwide projects simultaneously.
  • Excellent written and verbal communication skills.
  • Comfortable working with regional teams, multiple time zones, and diverse stakeholders.
  • High proficiency in Microsoft Excel, Word, PowerPoint, and projecttracking tools.
  • Detailoriented with strong followthrough and ability to work independently.
  • Experience in wellbeing, HR, learning and development, healthcare, or consulting environments.
  • Familiarity with vendor coordination and clientfacing support.
  • Background in shared services or professional services environments.
