Process Automation Specialist

Position Summary

The Process Automation Specialist is responsible for building, maintaining, and improving automated systems across operations, including fulfillment, logistics, finance, and human capital.

This role ensures that workflows, reports, and data processes are accurate, efficient, and scalable from data input to final reporting and execution.

You will design process logic, build automation workflows, troubleshoot system issues, and continuously improve operational efficiency. Your work directly impacts productivity, data accuracy, and decision making speed.

To build and optimize automated systems that eliminate manual work, improve data accuracy, and enable scalable and efficient business operations.

Key Responsibilities

1. Process Mapping & System Design

  • Map existing workflows across departments such as fulfillment, logistics, finance, and human capital.
  • Identify inefficiencies, delays, and manual dependencies.
  • Design structured automation solutions based on actual business flow.
  • Standardize processes before automation.

2. Automation Building (Tools & Integrations)

  • Build automated workflows using tools such as Google Sheets, Apps Script, Zapier, Make, or similar platforms.
  • Set up logic based automations including triggers, conditions, and outputs.
  • Ensure proper execution of:
  • Report generation daily, weekly, and monthly
  • Payroll and financial computations
  • Order and fulfillment tracking
  • Recruitment and employee data tracking
  • Test all systems thoroughly before deployment.

3. Data Processing & Reporting Automation

  • Automate data collection, cleaning, and consolidation.
  • Build real time dashboards and reports.
  • Ensure data accuracy and consistency across systems.
  • Reduce manual encoding and reporting time.

4. Troubleshooting & Optimization

  • Investigate and fix automation or system issues.
  • Identify root causes of:
  • Data inconsistencies
  • Broken automations
  • Incorrect outputs or reports
  • Integration failures
  • Implement long term fixes to prevent recurrence.
  • Resolve system issues within 24 to 48 hours.
  • Ensure solutions are accurate, reliable, and aligned with actual business needs.

5. Monitoring & Continuous Improvement

  • Monitor performance of automated systems.
  • Identify bottlenecks and inefficiencies.
  • Continuously optimize workflows and automations.
  • Recommend system improvements based on operational needs and data insights.
  • Take initiative in identifying improvements without waiting for instructions.

6. Documentation & Reporting

  • Maintain updated documentation of all automation workflows and systems.
  • Create SOPs for automated processes.
  • Submit weekly automation and system performance reports.
  • Document major updates, fixes, and improvements.

Job Qualifications

  • With hands-on experience in automation tools, workflow systems, or process improvement such as Zapier, Make, Google Sheets automation, or Apps Script.
  • Able to understand complex workflows, identify inefficiencies, and design structured automation logic.
  • Can translate real world operations into structured and repeatable systems.
  • Comfortable working with data, reports, and structured datasets with high attention to accuracy.
  • Familiarity with scripting such as Apps Script or Python is an advantage but not required.

  • Takes full responsibility for system performance and proactively improves workflows.
  • Able to diagnose and fix issues without constant supervision.
  • Works well with logic, systems, and step by step processes.
  • Continuously looks for ways to reduce manual work and improve speed.
  • Maintains organized records and submits reports consistently.

  • Accurate and reliable reports that are consistent, error free, and delivered on time.
  • Faster operational turnaround where processes that used to take hours are completed in minutes.
  • Resolved system issues at the root level with no recurring problems.
  • Continuous improvement of systems based on data, feedback, and operational needs.
