Job Title: Advanced Associate, Payroll Administrator (Philippines)
The Advanced Associate, Payroll Administrator (Philippines) is responsible for supporting the accurate and timely processing of payroll for employees in the Philippines. This role ensures compliance with local statutory requirements, assists with payroll operations, and provides administrative support to the broader payroll function.
Key Responsibilities
Payroll Processing Support
- Assist in the end-to-end payroll processing for Philippines employees
- Prepare and validate payroll input data (new hires, terminations, salary changes, allowances, deductions)
- Review timesheets and attendance data where applicable
- Support payroll calculations including overtime, leave, and statutory deductions
- Perform basic payroll checks and reconciliations
- Follow pre, during, and post payroll controls and checklists to ensure accuracy and compliance
Compliance & Statutory Requirements
- Support compliance with Philippines payroll legislation and statutory obligations
- Assist in the preparation and submission of:
- SSS (Social Security System)
- PhilHealth
- Pag-IBIG
- Withholding Tax (BIR)
- Maintain accurate payroll records and documentation for audit purposes
Payroll Administration
- Maintain employee payroll data in payroll systems
- Support onboarding and offboarding payroll activities
- Assist with payroll reporting and data extraction
- Ensure payroll system data is accurate, complete, and maintained in a timely manner
Payroll & Administrative Support Tasks
- Process and track Security Bank account applications for employees, including coordination with HR and banking partners
- Maintain and update the New Joiner Tracker, ensuring all payroll-related details are complete and accurate
- Administer and track Pag-IBIG loan applications and deductions
- Support Certificate of Employment (COE) requests, ensuring accuracy and timely issuance
- Assist with BIR 2316 preparation and distribution in line with year-end requirements
- Coordinate and maintain records for government-related certificates and documentation
- Manage employee TIN (Tax Identification Number) applications and updates
- Support leave tracking and plotting (LTE's leave plotting) to ensure accurate payroll inputs
- Maintain proper documentation and filing for all payroll-related administrative activities
- Respond to employee payroll queries in a timely and professional manner
- Liaise with HR, Finance, and external vendors to resolve payroll-related issues
- Support ServiceNow (or case management system) tickets related to payroll
- Escalate payroll risks, delays, or data issues that may impact payroll timelines
- Maintain high accuracy in payroll data entry, trackers, and administrative tasks, ensuring all information is up to date
- Complete tasks on time and support payroll deadlines by preparing and following up on required inputs
- Follow payroll processes, checklists, and instructions, escalating any issues or uncertainties promptly
- Take ownership of administrative responsibilities including new joiner tracking, bank accounts, loans, TIN, and documentation
- Communicate clearly and respond to payroll queries in a timely and professional manner
- Work collaboratively within the team, maintain confidentiality, and show willingness to learn and improve
- Identify and raise any discrepancies or risks that may impact payroll accuracy or timelines
