Job Description

Were looking for a highly organized, communicationsavvy Virtual Administrative Assistant who can support administrative, leasing, invoicing, communication, and documentation tasks helping ensure smooth operations across departments while working remotely.

Job Title: Administrative VA

Location: Fully remote (Work from home)

Key Responsibilities:

  • Provide general administrative support: data entry, filing, document preparation, recordkeeping, and updating internal trackers/databases.
  • Handle communications: respond to emails and messages, manage mailboxes, relay voicemails, and follow up with clients, tenants or applicants as needed.
  • Manage leasing support: update inquiry records (e.g. guest cards in propertymanagement system), follow up with potential tenants, maintain an inquiries/followups tracker, and prepare application summaries.
  • Assist with invoicing: help in invoice preparation, tracking, and recordkeeping.
  • Upload, organize and manage digital assets: files, recorded webinars, documentation or other digital resources.
  • Coordinate schedules and appointments, and assist with basic coordination tasks across teams.
  • Support client and tenant communication providing timely, professional responses.
  • Perform other general remoteadministrative duties as assigned.

Requirements:


  • Proven experience as a Virtual Assistant, Administrative Assistant, Receptionist, or similar role preferably with exposure to property management or leasing support.
  • Excellent written and verbal communication skills, with strong professionalism.
  • Highly organized, detailoriented, and capable of multitasking.
  • Comfortable working remotely, with a reliable internet connection and a quiet, professional workspace.
  • Proficient in using common software tools (e.g. spreadsheets, email, propertymanagement and documentation systems e.g. experience with systems like AppFolio is a plus).
  • Customer service mindset: able to follow up, communicate politely, and handle inquiries/requests with care.
  • Reliable, proactive, able to work independently but also coordinate with team members when needed.
  • Effective time management and taskprioritization skills.
  • Discretion: able to handle sensitive information or documents with confidentiality.
