Were looking for a highly organized, communicationsavvy Virtual Administrative Assistant who can support administrative, leasing, invoicing, communication, and documentation tasks helping ensure smooth operations across departments while working remotely.
Job Title: Administrative VA
Location: Fully remote (Work from home)
Key Responsibilities:
- Provide general administrative support: data entry, filing, document preparation, recordkeeping, and updating internal trackers/databases.
- Handle communications: respond to emails and messages, manage mailboxes, relay voicemails, and follow up with clients, tenants or applicants as needed.
- Manage leasing support: update inquiry records (e.g. guest cards in propertymanagement system), follow up with potential tenants, maintain an inquiries/followups tracker, and prepare application summaries.
- Assist with invoicing: help in invoice preparation, tracking, and recordkeeping.
- Upload, organize and manage digital assets: files, recorded webinars, documentation or other digital resources.
- Coordinate schedules and appointments, and assist with basic coordination tasks across teams.
- Support client and tenant communication providing timely, professional responses.
- Perform other general remoteadministrative duties as assigned.
Requirements:
- Proven experience as a Virtual Assistant, Administrative Assistant, Receptionist, or similar role preferably with exposure to property management or leasing support.
- Excellent written and verbal communication skills, with strong professionalism.
- Highly organized, detailoriented, and capable of multitasking.
- Comfortable working remotely, with a reliable internet connection and a quiet, professional workspace.
- Proficient in using common software tools (e.g. spreadsheets, email, propertymanagement and documentation systems e.g. experience with systems like AppFolio is a plus).
- Customer service mindset: able to follow up, communicate politely, and handle inquiries/requests with care.
- Reliable, proactive, able to work independently but also coordinate with team members when needed.
- Effective time management and taskprioritization skills.
- Discretion: able to handle sensitive information or documents with confidentiality.
