Your Role:
As an
Administrative Support Specialist, you will provide operational and reporting support to an
Australian-based account. You will ensure accurate and timely reporting of dispatched jobs, track progress and results, and manage second-level escalations to maintain service excellence.
Reporting & Data Management- Generate daily, weekly, and monthly reports on dispatched jobs, service performance, job completion status, and outstanding actions.
- Consolidate, validate, and analyze operational data to ensure accuracy before release.
Operational Support- Track and follow up on dispatched jobs to ensure timely completion and proper documentation of results.
- Coordinate with field teams, vendors, or partner networks to chase pending updates and job outcomes.
- Maintain accurate and up-to-date records within internal systems and dashboards.
Escalation Management- Act as a second-level escalation point for operational concerns requiring follow-up or resolution.
- Investigate escalated issues, document findings, and coordinate with relevant teams to resolve problems promptly.
- Ensure escalation procedures and service guidelines aligned with Australian client expectations are consistently followed.
Communication & Coordination- Liaise with cross-functional teams to clarify job details, requirements, or missing information.
- Provide clear and professional communication when coordinating outcomes or reporting updates.
- Support the Australian account team with administrative tasks as needed.
Non-Negotiable Requirements- Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, formulas, charting)
- Clear and articulate verbal and written English communication skills
- Call center experience
- Reporting and analysis skills and experience
Qualifications & Skills- Willing to work Melbourne business hours
- At least 1-2 years of administrative, reporting, or operations support experience, preferably supporting international or Australian accounts
- Good understanding of reporting processes and data management
- Strong attention to detail and ability to manage multiple tasks simultaneously
- Ability to work with minimal supervision and meet deadlines consistently
- Experience with Australian accounts preferred but not required
- Background in BPO or shared services environment is an advantage
