We are seeking a proactive and highly organized Administrative Assistant to provide administrative support and executive-level assistance to senior management. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative Duties
- Manage daily office administration and ensure smooth office operations.
- Maintain filing systems, records, and company documents.
- Coordinate office supplies procurement and inventory management.
- Liaise with vendors, service providers, building management, and external stakeholders.
- Support employee onboarding, office facilities management, and company events.
- Process invoices, expense claims, and administrative documentation.
- Assist in drafting correspondence, announcements, and administrative reports.
Executive Assistant Duties
- Manage and coordinate executives calendars, appointments, meetings, and travel arrangements.
- Screen calls, emails, and correspondence, ensuring timely follow-up and response.
- Prepare meeting materials, presentations, reports, and meeting minutes.
- Coordinate internal and external meetings, including scheduling and logistics.
- Handle confidential information with discretion and professionalism.
- Assist with special projects and ad-hoc assignments as required.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
- Minimum 3–5 years of relevant experience as an Executive Assistant, Personal Assistant, Administrative Executive, or similar role.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and maintain confidentiality.
- Positive attitude, professional demeanor, and strong interpersonal skills.
Preferred Qualifications
- Experience supporting C-level executives or senior management.
- Familiarity with travel coordination and expense management.
