Job Description

We are seeking a proactive and highly organized Administrative Assistant to provide administrative support and executive-level assistance to senior management. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Administrative Duties

  • Manage daily office administration and ensure smooth office operations.
  • Maintain filing systems, records, and company documents.
  • Coordinate office supplies procurement and inventory management.
  • Liaise with vendors, service providers, building management, and external stakeholders.
  • Support employee onboarding, office facilities management, and company events.
  • Process invoices, expense claims, and administrative documentation.
  • Assist in drafting correspondence, announcements, and administrative reports.

Executive Assistant Duties

  • Manage and coordinate executives calendars, appointments, meetings, and travel arrangements.
  • Screen calls, emails, and correspondence, ensuring timely follow-up and response.
  • Prepare meeting materials, presentations, reports, and meeting minutes.
  • Coordinate internal and external meetings, including scheduling and logistics.
  • Handle confidential information with discretion and professionalism.
  • Assist with special projects and ad-hoc assignments as required.

Requirements

  • Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
  • Minimum 3–5 years of relevant experience as an Executive Assistant, Personal Assistant, Administrative Executive, or similar role.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and maintain confidentiality.
  • Positive attitude, professional demeanor, and strong interpersonal skills.

Preferred Qualifications

  • Experience supporting C-level executives or senior management.
  • Familiarity with travel coordination and expense management.
  • Experience in a fast-paced corporate or professional services environment.
