Job Title: Administrative Assistant with Bookkeeping Support

Rate: Php 267.85 per hour

Work Type:

  • Remote/WFH
  • Part-Time - 20 hours a week

Working Hours: Shift Schedule (TBD - MST Business Hours)

JOB OVERVIEW:

The Administrative Assistant with Bookkeeping Support helps keep day-to-day administrative and finance-related tasks organized and up to date. This role focuses on invoice tracking, payables and receivables support, document management, scheduling, follow-ups, and maintaining accurate records across internal teams, customers, and vendors.

The position requires strong organization, attention to detail, and comfort working with tools such as QuickBooks, Xero, spreadsheets, email, and shared document systems.

JOB ROLE & RESPONSIBILITIES:

  • Provide general administrative support to the leadership, sales, operations, and finance-related functions of the company.
  • Assist with invoice preparation, invoice tracking, payment follow-ups, and basic billing support.
  • Help monitor accounts payable and accounts receivable records to ensure items are properly tracked and updated.
  • Enter, update, and maintain financial and administrative information in QuickBooks, Xero, spreadsheets, and other company systems.
  • Assist in organizing receipts, invoices, vendor bills, client billing records, payment confirmations, and other supporting documents.
  • Help keep bookkeeping records accurate, complete, and up to date in accordance with company procedures.
  • Track pending admin and finance-related items and follow up with the appropriate person until they are completed.
  • Prepare and maintain spreadsheets, reports, trackers, and summaries for internal use.
  • Assist with vendor, client, and internal follow-ups through email, phone, or other communication channels.
  • Help organize digital files, shared folders, administrative records, financial documents, and other company documentation.
  • Support calendar management, meeting scheduling, reminders, and coordination of internal or external meetings as needed.
  • Prepare simple reports, summaries, meeting notes, action items, and administrative updates.
  • Review documents and records for accuracy, missing information, or needed corrections.
  • Coordinate with internal team members to gather updates, confirm details, and complete assigned administrative tasks.
  • Help ensure that routine tasks, financial records, and administrative items are not delayed or overlooked.
  • Maintain confidentiality of company, client, vendor, pricing, billing, and financial information.
  • Support basic data entry, document preparation, email organization, and other clerical tasks as assigned.
  • Assist with other administrative, bookkeeping, and operations support tasks as needed.

JOB REQUIREMENTS:

  • Bachelor's degree in Business Administration, Accounting, Finance, Management, or a related field.
  • At least 2 years of experience in administrative support, bookkeeping support, accounting assistance, finance administration, operations support, or a similar role.
  • Experience with invoicing, accounts payable, accounts receivable, billing support, or basic bookkeeping tasks.
  • Working knowledge of QuickBooks, Xero, or similar accounting software.
  • Proficiency in Microsoft Office and/or Google Workspace, especially Excel or Google Sheets.
  • Strong written and verbal English communication skills.
  • High attention to detail, especially when handling invoices, records, numbers, payment details, and administrative documents.

  • QuickBooks Online Certification
  • Xero Advisor Certification
  • Certified Bookkeeper
  • Certified Administrative Professional
  • Microsoft Office Specialist, especially Excel
  • Google Workspace certification
  • Any bookkeeping, accounting, finance, or administrative support-related certification
