Job Description

Position Summary

We are seeking a highly organized and detail-oriented Remote Administrative Assistant to support an attorney and legal practice in the preparation, management, and closing of transactional matters (real estate and/or business transactions). This role begins as a part-time position with the intention of growing into a full-time role for the right candidate. The ideal candidate has prior experience collaborating with others to prepare and close transaction documents, thrives in a fast-paced environment, and can provide responsive, real-time support to the attorney.

Work Hours: Part Time Monday to Friday, 9 am to 1 pm Arizona MST

Key Responsibilities

  • Maintain and update schedules for active transactions as well as the attorney's calendar, ensuring deadlines and closing dates are tracked and met.
  • Monitor transaction-related email inboxes and the attorney's email in real time, providing prompt follow-up and shadowing incoming correspondence so nothing falls through the cracks.
  • Electronically file documents into the appropriate client folders promptly as they are received.
  • Format, prepare, and finalize documents in Microsoft Word and PDF.
  • Understand and support each stage of the closing cycle, anticipating needs and next steps.
  • Assist with onboarding new clients, including intake, documentation, and setup.
  • Provide calendaring, scheduling, and general organizational support to keep the attorney organized and on track.
  • Communicate and coordinate with the attorney, clients, and third parties using Microsoft Teams.

Qualifications

  • Prior experience assisting with the preparation and closing of transaction documents (real estate or business transactions preferred).
  • Working knowledge of the transaction/closing cycle.
  • Proficiency with Microsoft Word (formatting), PDF tools, and Microsoft Teams.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a remote environment while remaining highly responsive.
  • Reliable internet connection and a suitable home-office setup for remote work.
