Job Description:
We are seeking a detail-oriented and reliable Administrative Assistant (Contractor) to provide operational and administrative support across defined projects. This role focuses on data accuracy, document coordination, and timely follow-up with internal and external stakeholders to ensure smooth administrative processes and project execution.
Key Responsibilities
1. Data Management & Record Keeping
- Maintain and update databases, trackers, and internal records to ensure information is accurate, complete, and up to date.
- Organize, link, and reference supporting documentation to enable easy retrieval and audit readiness.
- Ensure proper documentation standards are followed throughout the project lifecycle.
2. Communication & Follow-Up
- Conduct routine follow-ups with external contacts to obtain required documents, invoices, and forms.
- Track outstanding items and ensure timely completion to support project and compliance requirements.
- Assist with administrative processes related to payments, compliance checks, and record accuracy.
3. Document Coordination & Administrative Support
- Prepare, organize, and track project-related documents and administrative materials.
- Coordinate with internal teams to support project workflows and information sharing.
- Manage incoming and outgoing correspondence, including mail and email communications.
- Arrange courier services and handle document delivery as required.
Requirements:
- Graduate of any Bachelor's Degree
- 2 year minimum work experience from similar role
- Able to collaborate effectively with diverse stakeholders
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and follow up independently
- Clear written and verbal communication skills
- Knowledgeable with MS and Google Applications
- Comfortable working with databases, trackers, and basic administrative tools
