Your Role:
JOB DUTIES AND RESPONSIBILITIES:. Respond promptly and professionally to client inquiries.
. Prepare and send DocuSign documents for new investment approvals, often on short
notice and across multiple communities.
. Track the status of DocuSign documents and follow up as needed to ensure timely
completion.
. Gather and organize required documentation for new investments, including W-9s,
management agreements, and board approval notes.
. Maintain and regularly update investment tracking spreadsheets to reflect pending,
approved, and funded statuses.
. Confirm successful fund transfers and log confirmations accordingly.
. Notify the Community Association Manager (CAM) when DocuSign documents have been
sent to authorized board members.
. Send completed DocuSign documents and board notes to the authorized controller to
initiate fund transfers.
. Provide weekly updates to the Financial Services Coordinator on outstanding items (e.g.,
pending investments, missing board notes, outdated paperwork).
. Submit IT requests to update contact information when needed.
What You Need:
QUALIFICATIONS:
. High school diploma or equivalent required.
. 1-4 years of administrative support experience, preferably in a high-volume or financial
environment.
. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and web-based platforms.
. Experience with DocuSign or similar e-signature software.
. Strong attention to detail with the ability to prioritize and manage multiple tasks effectively.
. Excellent written and verbal communication skills.
. Ability to work independently while supporting multiple communities.
. Strong organizational and time management skills.
. Customer service mindset with a professional and respectful demeanor.
. Technologically savvy and quick to adapt to new tools and systems.
. Reliable and dependable, with a solid attendance record.
. Able to manage confidential information with discretion.
