Job Description

Administrative Assistant (Up to ₱30K | Onsite | FREE AI Certification)

Cebu City | Onsite (IT Park) | 6:00 AM–3:00 PM PH Time | Monday–Friday

You own defined administrative, compliance, and meeting-coordination outputs that keep the onshore manager ahead of schedule across a portfolio of properties. Your work runs through documented task queues—drafting agendas and minutes, issuing routine correspondence, managing insurance claims end-to-end, and preparing compliance notices to required standards.

This is not a reactive support role. You operate within established processes, follow defined procedures, and are trusted to escalate cleanly when a matter sits outside scope. Best suited for professionals who thrive on structured documentation, sustain attention through high-volume admin, and prefer clear protocols over ambiguity.

You're Likely a Strong Fit If You Have

  • 2+ years in executive assistance, operations support, or property administration, for an Australian or NZ-based firm
  • Hands-on experience drafting meeting documents, routine correspondence, and compliance notices
  • Working knowledge of task and workflow management platforms
  • Strong written English suitable for direct correspondence with onshore stakeholders
  • Ability to process large volumes of detail-driven administrative tasks against deadlines
  • Willingness to work AU day-shift hours on an onsite setup.

Strong Signals

  • Prior offshore experience supporting an Australian property or community management firm
  • Familiarity with property compliance procedures and statutory notice requirements
  • Exposure to scheduled meeting cycles and committee or stakeholder document workflows

Responsibility Pillars

Administration & Meeting Coordination

You own the meeting cadence that keeps each property on schedule and to standard.

  • Build annual meeting schedules and prepare documentation for scheduled meetings
  • Draft, review, and issue agendas and minutes that meet onshore standards
  • Circulate meeting documents to relevant stakeholders for review and approval

Communication & Correspondence

You own the daily flow of communication between the onshore manager and key stakeholders.

  • Manage routine correspondence on behalf of the onshore manager with clarity and consistency
  • Distribute agreements and track them through to execution
  • Maintain clean records of stakeholder communication for audit and continuity

Workflow, Compliance & Claims

You keep tasks, claims, and compliance actions moving on schedule and to standard.

  • Manage and progress tasks through the assigned platform, monitoring completion against deadlines
  • Drive insurance claims from lodgement through resolution, with regular stakeholder updates
  • Prepare and issue compliance and statutory notices, and progress dispute resolution matters as required
