Job Title: Administrative Assistant – Data Entry & Regulatory Support

Location: Hybrid (twice a week onsite)

Reports To: Operations/Compliance Team

About the client:

Lleading building certification company providing building approvals and inspection services across Australia. We partner with builders, developers, and homeowners to streamline the certification process, ensuring full compliance with local building regulations.

Role Overview:

We're seeking a detail-oriented Administrative Assistant to support our certification team with data entry and administrative processes. The ideal candidate will play a key role in ensuring smooth lodgment and tracking of building applications, certificates, and property documentation across relevant regulatory portals.

Key Responsibilities:

● Accurately enter new job details into internal systems

● Perform property searches and extract required planning/building data

● Lodge applications, approvals, and certificates through regulatory portals (e.g., local councils, state planning systems)

● Upload inspection bookings and related documentation into internal systems

● Organize and file email correspondence and project documentation

● Send follow-ups and status updates to internal stakeholders or clients

● (Optional) Assist in reviewing certificates for completeness and accuracy, under supervision

Qualifications & Skills:

● 1+ years of experience in administrative or data entry roles, preferably in property, construction, or certification industries

● Strong written English and communication skills

● High attention to detail and accuracy in data handling

● Familiarity with Australian regulatory portals (preferred but not essential)

●Comfortable using CRMs, document management tools, and Excel

● Self-motivated, dependable, and able to meet deadlines with minimal supervision

Work Schedule:

● Full-time, Monday to Friday

● Alignment with AEST preferred but can be flexible depending on team structure

Nice to Have:

● Background in property, building certification, or compliance administration

● Experience working with Australian clients or regulatory bodies

● Ability to quickly learn new platforms or portals
