Job Description
The Administrative Assistant Compliance provides vital support to the Compliance Manager in managing and tracking internal audits for company systems and platforms, with a focus on preventative and reactive maintenance, asset tracking, and compliance with ISO standards (ISO 45001:2018, ISO 14001:2016, and ISO 9001:2016). This role requires a high degree of attention to detail, excellent communication skills, and the ability to manage multiple priorities within strict timeframes.
The position acts as a liaison between the Compliance Team and external/internal stakeholders such as building managers to ensure audit outputs are received, recorded, followed up, and escalated when necessary. The successful
candidate will play a key role in identifying and reporting compliance gaps and facilitating timely corrective action.
Key Responsibilities
Stakeholder Liaison & Follow-Up
Liaise directly with building managers and supervisors to follow up on outstanding audit actions, evidence
submissions, and implementation of corrective actions.
Track and follow up on deadlines and escalate delays or non-compliance to the Compliance Manager.
Compliance Monitoring & Reporting
Monitor internal audit findings and action plans to ensure closure within agreed timelines.
Identify and report compliance gaps or recurring issues to the Compliance Manager.
Prepare weekly/monthly reports outlining audit completion status, outstanding items, and risk areas.
Escalation & Issue Management
Identify audit outputs or responses that do not meet compliance or documentation standards.
Escalate unresolved or high-risk issues to the Compliance Manager promptly
Qualification And Requirements
High level of accuracy and attention to detail on tasks
Data Entry
Excellent verbal and written communication skills
Strong organisational and time-management skills
Ability to manage competing priorities and meet deadlines
Professional and effective liaison with internal and external stakeholders
Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with audit/compliance tracking
systems (Blogix knowledge preferred training will be provided)
Qualifications & Experience
Minimum 2 years of experience in an administrative or compliance support role
Familiarity with ISO 45001:2018, ISO 14001:2016, and ISO 9001:2016 standards desired
Experience liaising with operational or facilities/building teams highly desirable
Exposure to facilities and building management is an advantage
Business Administration, Communications, Degree or equivalent preferred
Other Requirements
Ability to work independently and as part of a small compliance team
Proactive in identifying problems and proposing solutions
Commitment to maintaining confidentiality and professionalism
Ability to occasionally attend online meetings
Non-negotiable Skills & Requirements
