Job Summary

The Administrative Assistant is responsible for providing administrative and clerical support to ensure efficient office operations, with a focus on managing company licenses and permits, overseeing building administration, and extending support to the Executive Assistant in day-to-day executive and management requirements. This position ensures regulatory compliance, smooth facility management, and contributes to the effective execution of executive-level tasks.

Key Responsibilities

Provide comprehensive administrative and clerical support to ensure efficient daily office operations.

Assist in processing, securing, and monitoring company licenses, permits, and other regulatory requirements to maintain compliance with government agencies.

Support in building and facility administration, including maintenance, utilities, housekeeping, and safety compliance.

Coordinate with suppliers, contractors, and service providers for office and facility-related requirements.

Provide direct assistance to the Executive Assistant in preparing documents, reports, presentations, and coordinating executive schedules and meetings.

Maintain organized records, correspondence, and confidential company documents.

Support other departments in administrative tasks and inter-departmental coordination.

Perform other related duties and responsibilities as may be assigned by top management.

Qualifications

Bachelor's Degree in Business Administration, Management, or any related field.

At least 12 years of relevant experience in administrative work, particularly in permit processing, facilities management, or executive support.

Accredited Pollution Control Officer (PCO), or willing to undergo PCO training and accreditation.

Knowledge of government compliance processes and documentation procedures.

Strong organizational and time-management skills with attention to detail.

Excellent written and verbal communication skills.

Proficient in Microsoft Office specifically in Word, Excel, PowerPoint.

Trustworthy, professional, and able to handle confidential information.

Able to work independently and manage multiple tasks effectively.
