Position Overview:

We are seeking a motivated, detail-oriented Administrative & Operations Assistant to support our growing team in a remote, full-time capacity. This is a work-from-home position that requires overnight availability aligned with Chicago Time.

Key Responsibilities:

  • Client Communication: Professionally respond to calls, texts, and emails in a timely manner.
  • Bookkeeping: Perform bookkeeping tasks in QuickBooks.
  • Property Oversight: Support property management operations across Chicago.
  • Scheduling: Qualify leads and schedule appointments for the construction division.
  • Administrative Support: Prepare reports and maintain organized documentation.

Skills & Qualifications:

  • Fluent English (neutral accent required) superb verbal and written communication skills are a must.
  • Strong communication skills via phone, email, and messaging.
  • Highly organized, capable of multitasking and managing priorities.
  • High attention to detail and accuracy in all tasks.
  • Tech-competent with a reliable internet connection and home office setup.
  • Confident phone presence able to speak clearly and professionally, and successfully handle incoming calls to qualify clients.
  • Ability to manage and coordinate multiple responsibilities, including administrative, client relations, and operations tasks.

Requirements:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Google Sheets, Google Drive, etc.), as well as QuickBooks
  • Experience using project management tools and CRM platforms.
  • Prior experience in a similar administrative or remote support role is preferred
  • Background or experience in construction, real estate, or property management is a strong advantage
  • Proven experience working graveyard shifts with full availability to work overnight in Chicago Time.
  • Ability to work independently, take initiative, and manage tasks with minimal supervision

Salary - $9,000 to $12,000 per year

Hours 5 days per week, 9:00 AM to 5:00 PM Chicago Time
