Administrative & Recruitment Assistant

Location: Remote

Schedule: Full Time | 8:00 AM to 5:00 PM EST

Compensation: $600.00 / month

About the Role

As the Administrative & Recruitment Assistant, you are the backbone of the management team's daily productivity. Your mission is twofold: keep the leader's schedule and inbox organized, and maintain a steady flow of high-quality talent into our hiring pipeline. You aren't just checking boxesyou are a filter. You will use our existing AI-driven tools and recruitment processes to find applicants, screen them through our systems, and get the best candidates onto the management's calendar. Success is simple: Zero missed meetings, an inbox at Zero, and a hiring pipeline that never runs dry.

What You'll Do

Executive Support & Inbox Management

  • Serve as the primary gatekeeper for emails; sorting, flagging, and responding to routine inquiries.
  • Own the calendar: Schedule meetings, resolve conflicts, and ensure management is prepared for every call.
  • Use AI tools (Gemini/ChatGPT) to draft communications, summarize long threads, and speed up daily workflows.

  • Recruitment & Talent Sourcing

    • Post job openings across various platforms (OnlineJobs.ph, LinkedIn, Indeed, Facebook Groups, etc.).
    • Research and identify new platforms to expand our reach and find untapped talent pools.
    • Move applicants through our internal screening tool and ensure no candidate drops off the radar.
    • Coordinate and book interview slots between qualified applicants and the management team.

    Administrative AI-Driven Tasks

    • Handle entry-level administrative tasks (data entry, file organization, basic reporting).
    • Leverage AI to improve the quality and speed of administrative outputs.
    • Follow established SOPs (Standard Operating Procedures) while looking for ways to make them more efficient.

    What We're Looking For
    • 1-2 years of experience as a Virtual Assistant, Admin Assistant, or Recruitment Coordinator.
    • Tech-Savvy: You aren't afraid of AI. You know how to use Gemini/ChatGPT to work smarter, not harder.
    • Organizational Ninja: You live in your calendar and feel a sense of peace when your inbox is organized.
    • Platform Explorer: You know where the talent is. You are comfortable navigating job boards and social media to find great people.
    • Excellent English: Strong written and verbal communication skills are a must for managing emails and professional invites.
    • Process-Oriented: You like following a winning system but have the initiative to suggest a better way if you see one.
    • Equipment: MUST PROVIDE YOUR OWN EQUIPMENT AND A RELIABLE HIGH-SPEED INTERNET CONNECTION suitable for video calls.
