Administrative & Accounting Assistant Remote (HST Time Zone)High-Level Summary

A property management company is seeking an Administrative & Accounting Assistant to replace a previous team member. The ideal start date is mid-December, but early January is also acceptable for the right candidate.

This role requires exceptional accuracy, strong attention to detail, and the ability to work independently. The position involves regular interaction with vendors, so clear and professional communication is essential. A criminal background check may be performed during final selection.

The company is open to candidates from the Philippines, South Africa, or Latin America.


Role Overview

Job Title: Administrative & Accounting Assistant
Location: Remote
Time Zone Requirement: Must work Hawaii Standard Time (HST)
Hours: Full-time (40 hours/week), with some week-to-week flexibility
Start Date: Mid-December preferred; early January acceptable


Key Responsibilities

  • Receive, upload, and process vendor and utility invoices

  • Code and categorize invoices with accuracy

  • Submit payments in accordance with established schedules

  • Enter leases and renewals into the property management system

  • Process utility bill chargebacks

  • Prepare and send monthly owner statements

  • Provide general administrative support and handle ad hoc tasks


Hard Skills Required

  • Experience with accounts payable/receivable

  • Strong invoice coding, auditing, and categorization abilities

  • Familiarity with property management software (e.g., Buildium or similar)

  • Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar)

  • Ability to prepare reports and financial statements

  • Experience handling sensitive financial information

  • Professional-level English writing and documentation skills
