Your Role

As an Administration Officer, you will:

  • Key customer orders accurately and timely across multiple channels, including online, email, and fax platforms.
  • Manage the end-to-end account lifecycle, from opening new customer accounts in Pronto to updating GSA/BSA information and change-of-detail requests.
  • Resolve customer inquiries and manual adjustment requests, ensuring professional follow-through and escalation to management when necessary.
  • Support branch operations by balancing batches, processing first-order payments, and ensuring all record-keeping is meticulously maintained.
  • Collaborate with internal stakeholders, including Operations, Sales, and Finance, to address customer requests and maximize team productivity.

What You Need

Non-negotiables

  • Minimum 3 years of data entry experience in an administrative or operations management role.
  • Intermediate Excel Proficiency, including the ability to utilize VLOOKUPs, pivot tables, and perform data analysis.
  • Strong Customer Service background with the ability to handle professional inquiries and drive customer retention.
  • High Attention to Detail to ensure accurate keying of orders and account maintenance within ERP systems (Pronto).
  • Safety-First Mindset and a commitment to reporting risks, hazards, and incidents in line with company policy.

Preferred Skills/expertise

  • System Knowledge: Prior experience using Pronto ERP software is highly regarded.
  • Problem Solving: Proven ability to investigate manual adjustments and resolve dissatisfied customer issues.
  • Industry Knowledge: Familiarity with the gas or industrial utilities industry is a plus.
  • Communication: Excellent verbal and non-verbal communication skills to liaise effectively with Australian-based stakeholders.
  • Initiative: A proactive approach to improving personal product knowledge and optimizing team workflows.
