As an Administration and Scheduling Officer, you are the vital link between property managers, tenants, and our field team. By masterfully coordinating logistics and maintaining seamless communication, you ensure that every Little Job is a big success, directly impacting the efficiency and reputation of our maintenance operations.
Your Impact
Master of Logistics: Take charge of the daily schedule by efficiently booking maintenance jobs. Using tools like Google Maps, you will strategically coordinate tradespeople's locations to minimize travel time and maximize productivity.
Voice of the Brand: Act as the primary point of contact for approximately 30+ calls daily. Whether managing inbound queries from property managers or proactively calling tenants to confirm bookings, you deliver a professional and reassuring customer experience.
Operational Excellence: Maintain the heartbeat of the office by managing email correspondence, returning missed calls, and ensuring all job details are accurately logged. Your meticulous data entry ensures our digital and physical records are always audit-ready.
What You Bring
Experience: 1-2 years of experience in scheduling, dispatch, coordination, or a high-volume administrative role is highly desirable.
The Toolkit: Proficiency in general office software and the ability to navigate Google Maps for route optimization. You have a natural sense of urgency and can handle high call volumes without losing focus.
Core Skills: Exceptional verbal communication and a confident phone manner. You are geographically savvy (or a quick learner) and possess the multitasking skills required to manage a fast-paced desk.
