Job Description

This role follows a hybrid setup (12 days per week in-office) during probation and will transition to a fully remote arrangement after successful completion of the probationary period

You will be required to assist in all aspects of the financial planning administration process, which may at times extend beyond the duties listed below. Working closely with a Financial Planner based in Australia, you will play a key role in supporting client service delivery and ongoing advice processes.

This role involves managing the day-to-day financial planning support functions, including preparing for client meetings, coordinating documentation, and liaising with clients and third parties to ensure smooth and timely outcomes. You will be expected to maintain a high level of accuracy, organisation, and proactive communication at all times..

Other responsibilities include but are not limited to:

Supporting and managing the client review process, including:

  • Preparation of documents required for client meetings
  • Fee reviews and Fee consents
  • Obtaining reports, statements, and legal documents from financial institutions, clients, accountants, and legal firms

Providing general administrative support to the business, including:

  • Completing forms to place investments and meet government and statutory reporting obligations
  • Obtaining relevant PDS, research materials, TMDs, and supporting documentation for ROAs, SOAs, and wholesale investment advice
  • Processing and following up accounts payable and receivable using MYOB
  • Monitoring and following up workflows

Maintaining accurate and compliant client records in Xplan, including:

  • Uploading documents and keying data into Xplan
  • Updating asset pricing and values on Xplan and other investment platforms
  • Drafting and preparing Corporate Actions communications for client portfolios

You will receive in-house support and training, along with opportunities for ongoing professional development. You will be responsible for prioritising your daily workload while maintaining a high standard of accuracy and compliance.

Requirements

  • 23 years experience in a similar financial planning support or administration role
  • Experience with Xplan CRM
  • Experience supporting Financial Planners with administrative and client service tasks
  • Strong attention to detail and a passion for data accuracy
  • Excellent written and verbal communication skills
  • Strong time management and organisational skills
  • A genuine interest in and passion for financial planning
