Job Description

An Admin Specialist - Procurement (also known as a Procurement Administrator) acts as a bridge between administrative operations and the supply chain. This role focuses on the end-to-end purchasing process, from initial requisition to final payment and record-keeping.

Job Overview

We are looking for a detail-oriented Admin Specialist - Procurement to manage our organization's purchasing activities. You will be responsible for sourcing reliable suppliers, negotiating favorable terms, and ensuring that all departments have the materials and services they need to operate efficiently while staying within budget.

Key Responsibilities

  • Purchasing & Order Management: Process purchase orders (POs) and requisitions accurately and ensure timely delivery of goods and services.
  • Supplier Relations: Identify, evaluate, and onboard new vendors; maintain strong long-term relationships with existing suppliers to ensure reliability.
  • Negotiation: Negotiate contracts, pricing, and payment terms to secure the best value for the organization.
  • Inventory & Tracking: Monitor inventory levels to prevent shortages and track orders to resolve any shipping or quality discrepancies.
  • Data & Compliance: Maintain accurate procurement records for audits, analyze spending trends to find cost-saving opportunities, and ensure all activities comply with company policies and legal regulations.
  • Cross-Functional Collaboration: Work closely with finance, operations, and other departments to understand their procurement needs and align strategies with business goals.
