As an Admin Specialist, you are the organizational backbone of the office. Your mission is to ensure that our daily business operations run like a well-oiled machine. You will handle everything from high-level scheduling and document management to coordinating with vendors and supporting internal teams. This role requires a blend of proactive problem-solving and meticulous attention to detail.
Core Responsibilities
- Office Operations: Oversee the day-to-day needs of the workplace, including managing office supplies, coordinating mail/courier services, and ensuring common areas are functional.
- Executive Support: Assist leadership with calendar management, meeting scheduling, and travel arrangements to maximize their productivity.
- Document & Data Management: Create, format, and maintain company records, reports, and presentations. You'll ensure our digital and physical filing systems are organized and easy to navigate.
- Meeting & Event Coordination: Organize internal meetings and company events, including room booking, catering, and preparing necessary materials or tech setups.
- Vendor Liaison: Act as the primary point of contact for building management, maintenance crews, and office vendors to ensure all service requests are handled promptly.
- Financial Assistance: Support the finance team with basic tasks such as processing expense reports, tracking office budgets, and organizing invoices for payment.
